About the Role & Team

We are looking for a dedicated and dynamic Sr Executive Assistant to support the EVP, Creative Execution who will thrive in a fast-paced environment, be able manage multiple projects/tasks simultaneously, and have a keen eye for detail. They must efficiently manage their manager’s time and schedule, multitask and effectively partner and communicate with internal departments. This role may involve some non-traditional working hours, including early mornings/late evenings, weekends etc. It will be helpful if the candidate possesses excellent knowledge of the Studio landscape.

What You Will Do:

  • Coordinate one-time and recurring meetings, including logistics and preparation, for both internal and external partners and executives.
    • Logistics and preparation to include, but not limited to, sending out calendar invites, setting up video conference links, booking conference rooms, setting agendas, creating written/presentation materials.
  • Heavy calendar management, including day-to-day meetings and long-range planning, prioritizing meeting requests to optimize leader’s time.
  • Partner extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
  • Serve as primary contact for all incoming communications (i.e. phone calls, mail and/or emails).
  • Book travel arrangements (i.e. itineraries, flights, hotels, car rentals, temporary workspace, meeting locations, etc.) and complete travel expenses in a timely manner using Concur.
  • Filing of reference materials, important/confidential memos, business updates, meeting notes, and any other files.
  • Support departmental projects as needed.
  • Maintain inventory of office supplies.
  • Spearhead internal team events / meetings / recognitions (i.e. date, venue, food, and activities).
  • Complete other ad hoc duties as needed (i.e. help with facilities issues, ordering gifts, or running errands).

Required Qualifications & Skills:

  • Prior work experience in a support or administrative role, preferably within entertainment industry or comparable experience.
  • Excellent Computer Skills required – Strong proficiency with both PC and Mac, Microsoft Outlook, Word, Excel and PowerPoint, Keynote and Google Docs.
  • Proven track record of prioritization and meeting deadlines, adept at making swift decisions and adapting to changing circumstances with ease and flexibility.
  • Exemplary attention to detail coupled with the capacity to maintain professionalism even in high-pressure situations.
  • Outstanding organizational skills and commitment to follow-through, capable of efficiently managing multiple projects concurrently.
  • Excellent verbal and written communication skills, ensuring effective and professional interaction, especially when interacting with executives and other representatives from various departments.
  • Possesses a positive outlook and demonstrates proactive, resourceful, and adaptable qualities.
  • Exceptional interpersonal skills, fostering collaborative work environments and seamless coordination with fellow assistants and staff across all levels.
  • Valued team player with an easy-going manner, adept at navigating diverse personalities, responsibilities, and assignments with ease.

Preferred Qualifications & Skills:

  • Familiarity with SAP and Workday.
  • Prior experience supporting leaders at executive level within entertainment and/or the streaming industry
  • Passionate about entertainment including both movies and episodic series content, and the streaming business.
