Summary: 

The Sr. Executive Assistant provides high-quality & proactive administrative support to the President of Production Services, Franchise Management & Theatrical Distribution while working in a dynamic, fast-paced environment.  In partnership with the department Chief-of-Staff to the President, the Sr. Executive Assistant prioritizes and executes day-to-day objectives to ensure the office remains organized, agile and responsive. 

Responsibilities

  • Manage the President’s calendar, prioritizing and organizing schedules to optimize the President’s time, and partner closely with the Chief-of-Staff when scheduling all meetings, appointments, events, and travel 

  • Manage phone calls, messages, and priority call lists 

  • Organize, prepare, and submit expense reports  

  • Provide President with relevant documents prior to all meetings  

  • Liaise with executives, talent, and other assistants internally and externally  

  • Serve as the administrative lead for the President’s office, partnering with departmental assistants & coordinators on all aspects of management and coverage 

  • Bring strong organizational instincts to structure and maintain office systems, workflows, and priorities, keeping the President and broader office organized, well-kept, and running smoothly 

  • Take initiative as an independent thinker, anticipating needs and acting decisively without close direction 

  • Ensure logistics and preparation for internal & external events are provided to the President in a timely and organized manner 

  • Partner with the Chief-of-Staff and Leadership team to plan, coordinate, and execute departmental events, town halls, and offsites 

  • Represent the President and the department in a professional manner and manage all work with highest degree of confidentiality – exercising discretion, judgment and diplomacy  

  • Maintain, organize, and file all important documents, files, and records  

  • Manage mail into and out of the office 

  • Ad-hoc projects as necessary 

Basic Qualifications:   

  • 5+ years administrative experience supporting a senior level executive (Agency, Production or Studio environment preferred).  

  • Positive attitude and demonstrated ability to be proactive, independent and resourceful to solve problems   

  • Detail oriented with the ability to work well and maintain professionalism under pressure  

  • Ability to manage complex schedules, prioritize, meet deadlines and handle multiple responsibilities & projects 

  • Excellent communication skills, both written and verbal  

  • Strong computer literacy and proficiency with SAP, Concur and Workday and working knowledge of Microsoft Office, Keynote preferred 

  • Ability to work with confidential information  

  • Strong people skills, including the ability to work effectively as part of a team  

  • Applies good instincts and judgement navigating complex situations and environments 

  • Must be available to work overtime on evenings and weekends as needed and approved 

  • Must be able to work onsite in Burbank, 5 days per week 

Education:  

  • Bachelor’s degree or equivalent work experience 

The hiring range for this position in Burbank, CA is $95,500 to $128,000 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
