We have an opening for a Sr. Executive Assistant, this is 100% onsite.
Monday to Friday 8am-5pm. This is located borderline Costa Mesa, Santa Ana.
Must have experience in a manufacturing environment.
Summary
Supports executive administrative needs of COO. Schedules appointments, gives information to callers, writes memos and correspondence, and otherwise relieves the COO by performing the following duties.
Relieves COO of day-to-day internal operational oversight.
Essential Duties and Responsibilities
- Assist Accounting Department providing organization and support to the department by following the direction and instructions given by the COO.
- Utilizing Microsoft Outlook calendaring system, coordinate and organize the COO's calendar, using judgment in determining priorities of meetings, and events in order to assist the COO in maintaining an organized schedule.
- Manages department requests and matters; follows established rules and procedures in responding to requests and redirecting items to other staff members.
- Works independently and within a team on special, nonrecurring, and ongoing projects.
- Must have high level of interpersonal skills to handle sensitive and confidential situations to protect against improper disclosure by not disclosing confidential information.
- Utilizes Microsoft Word, Excel, and PowerPoint to prepare correspondence, presentations, and spreadsheets as requested by the COO.
- Attends meetings, takes minutes, tracks action items and goals.
- Arranges and coordinates travel schedules and reservations by utilizing online travel resources in support of the COO.
- Screens callers by answering the phone in a professional manner and writing down messages or forwarding callers, when necessary, in support of the COO.
- Exercises tact, sound judgment and discretion in liaison with board, members, bankers, auditors, and executive team. '
