Senior HR Professional - Corporate Admin Irvine, CA Full-time WHAT WE ARE LOOKING FOR An individual with rounded benefits experience who enjoys a collaborative team as well as individual project responsibility. This position is in our Corporate office and is aligned for an individual who thrives in a fast-paced environment and is detailed oriented and meets deadlines. Responsibilities: Health and Welfare Benefits: - Administer US and Canadian health and welfare benefits
- Coordinate companywide open enrollment meetings. Update Benefit Advisor with new plans and rates, audit open enrollment data from Benefit Advisor transferred to payroll accurately
- Administers FSA benefits include but are not limited to open enrollment, maintenance, and Sterling platform renewal
- Serve as a liaison between employees and insurance carriers
- Handle benefits inquiries from management, employees, and brokers
- Audit, reconcile, and accurately process benefit invoices, including on and offboarding employees for all Sterling and health and welfare benefits
- Prepare benefit portion of Exit packages and notify vendors of termination
- Maintain Benefits Advisor, ensure plans and rates are accurate, update and maintain the Resource Library, including, but not limited to the US and Canadian Holiday Schedules and benefit and wellness information
- Update Paycor notifications with US and Canadian Holidays. Send Paycor notifications related to benefits and wellness to employees as needed
- Monitor benefits eligibility and communicate enrollment opportunities to newly eligible employees, including distribution of required compliance documents
- Escalate all ADA potential leave to the Total Rewards Manager
- Prepare the census data for the required 5500 filings on both the health and welfare benefits
- Update and maintain the Navien Career Page benefits/wellness tab
- Perform quarterly audits of life insurance beneficiary elections and follows up with employees to ensure beneficiaries are completed and up to date
- Administers and maintains ERISA wrap plan documentation, ensuring compliance with applicable regulations
- Coordinate and monitor nondiscrimination testing for benefit plans, addressing corrective actions as needed.
Wellness: - Support and contribute to the planning and execution of wellness events, which may include biometrics screening, health fair, lunch-n-learns, Company Picnic and challenges
- Maintain and update the Wellness bulletin boards in Irvine
- Maintain Cigna Submission Workbook for the Wellness Fund reimbursement, submit receipts for reimbursement and reconcile invoice credit
- Distribute health and welfare flyers or communication pieces to inform and/or educate employees about Company benefits
Retirement Administration - Administer the 401(k) plan, track open enrollments, loans and deferrals, and upload the biweekly 401k upload file timely
- Oversee 401(k) eligibility tracking, ensures timely employee notification of enrollment eligibility, and distributes all required plan and compliance documentation
- Complete both the census and nondiscriminatory testing for 401K plan
- Administer the Canadian RRSP plan and upload on the biweekly RRSP file timely audit against ADP register
- Facilitate 401k audit
- Distribute compliance communication to inform and/or educate employees about retirement benefits
Leave of Absence Administration: - Administer and track employee leave of absence following and completing a LOA Checklist, inclusive of Request for Leave, prepare case specific LOA package. Deliver timely employee correspondence and management communication at both ends of the leave. Correspondence must be reviewed by Total Rewards Manager prior to delivery.
- Utilize Paycor to track all leaves, including documents as appropriate. Promptly upload leave documents into SharePoint.
- Weekly maintenance of the LOA tab on the recruitment report, providing specific information
- Partner with HR Specialist on wage replacement
- Partner with IT on disabling access and computer and/or equipment returns.
- Accurately track owed benefit premiums and manage timely collection of premium payments, or as appropriate, with Sterling for COBRA transition. Monthly updates due to the Total Rewards Manager the first week of each month
- Update recruiting spreadsheet promptly
- Prompt completion of incoming disability, paid family leave or other wage correspondence
- Work closely with team members on accurate benefit deductions, including 401(k) loan payments and premium payments during leave of absence
Miscellaneous - Process Assembly Culture purchases and Amazon invoices from Navi point redemption
- Maintain and administer the Lifestyle (LSA) Benefits Program. Work with Sterling to ensure eligible employees are registered, employees on leave are paused and reactivated upon return, and terminated employees are offboarded from the program. Review and reconcile monthly invoices
- May assist HR co-workers on year-end Holiday Party, and other company events
- Partner with management to communicate benefit and wellness HR policies, procedures, programs, and laws
- Collaborate with Internal Controls and complete requests related to benefits and/or wellness
- Remain abreast and apply all pertinent federal, state and local employment and benefits and wellness laws
- Participate in administrative staff meetings and may attend other meetings and seminars
- Maintain data and comply with statistical reports concerning personnel data using the HRIS system, prepare Ad hoc reports as requested
- Backup HR Specialist as needed
- Backup new hire orientation for on-site employees, swag bags, I9s and badge photos as needed
- Punctual and regular attendance is an essential function of the position
- Sort, date stamp, and distribute HR postal mail daily in a timely manner
- Maintain departmental filing on a weekly basis
- Upload all documents and projects promptly in SharePoint for team accessibility
- Support Total Rewards Manager and/or Director of Human Resources as needed or requested
- Perform other duties as required
Requirements: - Minimum 8+ years of multi-state HR background with a strong focus in benefits administration health, wellness, and 401k programs
- Must have strong hands-on experience managing leaves, ADA accommodation is a plus
- Solid Microsoft Word and PowerPoint skills and advanced Excel skills, along with demonstrated skills in database management and record keeping
- Prior experience with the oversight of the 401K plan and practices
- Experience with Canadian benefits a plus
- Excellent interpersonal skills and a desire to learn
- Proactively identify process enhancements and take initiative to drive process improvements
- Maintain a high level of confidentiality and be a guardian of employee data
- Solid time management and organizational skills
- Collaborative, reliable, detailed-oriented, and team-focused with a strong sense of ownership and accountability
- BA degree in Human Resources or Business and PHR certification a plus
