Onsite Coordinator / Office Services Specialist

Job Summary
We are seeking an organized and customer-focused Onsite Coordinator / Shared Services Specialist to support office services, mailroom, records management, reception, shipping, and administrative operations for a leading insurance company.

Key Responsibilities

• Manage incoming/outgoing mail, packages, shipments, and courier deliveries.

• Support records management, filing, retrieval, scanning, and document processing.
• Assist with check processing, reconciliation, tracking, and month-end activities.
• Provide backup reception and customer service support.
• Support conference rooms, office supplies, events, and general workplace services.
• Operate and troubleshoot copiers, printers, postage, and document-processing equipment.
• Maintain accurate logs, records, and documentation while protecting confidential information.
• Coordinate with customers, vendors, couriers, and internal teams to resolve issues.
• Support multiple priorities and cross-functional activities as needed.

Qualifications

• High school diploma/GED required; college degree preferred.
• 1–2 years of experience in office services, mailroom, records, administration, customer service, or a related environment.
• Strong organization, communication, customer service, and attention-to-detail skills.
• Proficiency with Microsoft Office and ability to learn operational systems.
• Ability to lift/move up to 50 lbs. and work onsite 5 days per week.
