The Institute on Aging (IOA) is seeking a part-time (20 hrs per week) Philanthropy Coordinator to support the organization's ambitious fundraising growth over the next three years. Reporting to the VP of Philanthropy, this role is a key member of the Philanthropy team and is responsible for administrative and project management support across major gifts, donor relations, and events as well as supporting gift processing, data management, and reporting in coordination with other members of the team.

The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and the ability to manage multiple priorities in a collaborative nonprofit environment. Experience with CRM databases, Microsoft Office, and nonprofit fundraising operations is preferred.

Hours: This is a part-time, 20 hour per week role.

POSITION DUTIES:

Major and Annual Giving Support

  • Support the VP of Philanthropy with high-level proposals, presentations, briefings, and tailored donor correspondence for major gift meetings, site visits, Board engagement, and Philanthropy Committee meetings.
  • Assist with portfolio management activities, especially donor stewardship actions.
  • Triage donor inquiries for the Philanthropy Team to ensure a prompt response and resolution for donors and prospective supporters.
  • Support stewardship efforts through coordinating thank you notes, donor follow-ups, event invitations, and assisting in tailored, in-house donor mailings.

Event Planning and Execution

  • Assist with planning and executing events including luncheons, dinners, small receptions, and committee meetings. Provide on-site event support as needed, ensuring smooth execution for internal and external participants.
  • Manage RSVPs for events and prepare regular updates for colleagues. Engage in additional outreach to encourage participation.
  • Support volunteer engagement at events; help recruit and train volunteers to support fundraising events.
  • Attend IOA events when opportunities exist for direct engagement with current and prospective volunteers, donors, and members of the Board of Directors.

Gift Administration and Database Support

  • Assist in tracking and managing donor data in the CRM, ensuring accurate and timely data entry.
  • Partner with colleagues and consultants to provide reports on fundraising goals and portfolio management as needed.
  • Prepare, print, and route acknowledgment letters and other key correspondence.
  • Act as a partner and liaison with IOA's Accounting Team, especially around gift documentation.

Administrative Management

  • Coordinate timelines and deliverables for Philanthropy campaigns and organization-wide projects, participating in short- and long-range planning for the team.
  • Manage the weekly Philanthropy team meeting agenda and track action items to completion.
  • Maintain, update, and organize giving records, documents, and files to ensure accuracy and accessibility.
  • Process expense reports and vendor payments in accord with IOA's protocols.
  • Assess office procedures and practices, recommend enhancements for efficiency and effectiveness, and manage improvement implementation.

Qualifications and Skills

  • Bachelor's degree or equivalent work experience, ideally within the Bay Area nonprofit sector.
  • Six (6) six years in nonprofit fundraising, communications, or a related field.
  • Working knowledge of fundraising and donor relations principles, with strong project-management skills and the ability to manage multiple priorities concurrently.
  • Excellent written, verbal, and interpersonal communication skills; sound judgment in handling sensitive donor information confidentially.
  • Detail-oriented with strong analytical and problem-solving skills and outstanding customer service for donor-facing work.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); CRM experience required, Blackbaud Raiser's Edge experience preferred. InDesign/Adobe Suite experience a plus.
  • Commitment to helping older adults, adults with disabilities, and their caregivers.
  • Ability to work occasional evenings and weekends.

COMPENSATION:

Range: $31.00 to $35.00/hourly
