Position Summary:

Ogletree Deakins, an Am Law 100 law firm, seeks a Senior Coordinator to join the firm’s fast-paced RFP and Pitch Team in its Client Services Department. The RFP and Pitch Team responds to hundreds of requests for proposal (RFPs) and pitches per year. The Senior Coordinator will help the team with all aspects of the proposal process from intake to submission, including reviewing and analyzing requests, creating shells/drafts, and compiling attachments. This position requires interaction with Client Services colleagues, office administrators, practice assistants, the firm’s attorneys, and other firm departments—thus, there is an emphasis on having a “customer-service” approach. This Coordinator must possess strong interpersonal and communication skills, both verbally and in writing. Candidates also must be detail oriented and be able to work as part of a highly collaborative team. This role also requires updating and maintaining attorney biographies. As needed, the candidate will assist with the firm’s marquee events.  Because we often work with confidential information, the candidate must understand the importance of being discreet and maintaining confidentiality. Hybrid and remote work available although there may be times the candidate will be required to be in the office for trainings or team meetings. This position may be remote, but the successful candidate must reside in a state where the firm has a physical office. Depending on location, this position might also require minimal travel for team or departmental meetings. 

Essential Functions:
  • Facilitates proposal process from intake to submission, including:
    • Reviews and analyzes requests
    • Create shells and initial drafts of proposals
    • Proofreads proposals, pitches, and other presentation materials
    • Assembles and organizes attachments
    • Communicates with the team, attorneys, and other departments to ensure proposal requirements and deadlines are met
  • Data Platform
    • Update proposal tracker and maintain RFP and pitch files
    • Conduct outreach to attorneys to determine outcomes
    • Search for firm experience to include in proposals
    • Maintain marketing content
  • Other tasks if needed, including:
    • Updates and maintains attorney biographies
    • Travels to and provides support for firm events
Requirements:
  • 3+ years of relevant legal business development/marketing/writing and/or law firm experience
  • Experience with Adobe InDesign
  • Experience with Microsoft Teams, Microsoft PowerPoint, Smartsheet, and InterAction
  • Experience with proposal data platforms (e.g., Foundation, QorusDocs)
  • Bachelor’s degree
  • High degree of proficiency in Microsoft Word
  • Strong writing and proofreading skills
  • Strong analytical skills
  • Strong attention to detail
  • Ability to acquire a thorough understanding of the firm’s structure, practice groups, and industry groups
  • Excellent time management skills with an ability to meet deadlines
  • Excellent oral and written communication and customer service skills, including the ability to professionally communicate with a wide variety of individuals and respond to inquiries in a timely, professional manner
  • Ability to multitask, adapt to shifting priorities, problem-solve, proactively address issues, and act with a sense of urgency when needed
  • Ability to conduct basic online research
