Summary

The Support Staff Specialist III provides advanced adminstrative support for the Sheriff's Office Administrative Division. This position performs a wide range of clerical, technical, and customer service functions, including assisting with real estate and sheriff sale processes, records mangement, financial tracking, reports, and other administrative functions.

Essential Duties

Essential duties, tasks and accountabilities may include the following:

  • Provide clerical support (typing, filing, copying, processing paperwork, etc.).
  • Receptionist duties (answer phone calls and direct inquiries to the appropriate person).
  • Sort and distribute incoming mail.
  • Payroll entry and attendance tracking.
  • Maintain office supplies.
  • Miscellaneous data entry.
  • May need to provide cashier services (cash, checks, receipts).
  • Maintain logs, if applicable and ensure accuracy.
  • Create and maintain calendars in OutLook.
  • Other office functions, as assigned (e.g., operate postage meter, collect money, reconcile petty cash).
  • Perform other duties, tasks and special projects, as required.

Administrative Division

  • Provide administrative support to the Administrative Division and assigned programs.
  • Assist with Sheriff Sale and Real Estate operations, including preparations of documents, maintaining files, entering data, processing correspondence, and coordinating required documentations.
  • Maintain electronic and paper records while ensuring accuracy, completeness, and confidentiality.
  • Assist with records retention and document management.
  • Assist with online and in-person Sheriff's Sale administrative functions as assigned.
  • Assist with training in the Sheriff Sale processes when needed.
  • Cross-train in multiple Administrative Division functions to ensure operational continuity.
  • Perform other duties as assigned.

Qualifications/Preferred Skills, Knowledge & Experience

  • High School Diploma or General Education Degree (GED).
  • Ability to maintain confidential information and handle confidential matters.
  • Basic spelling, grammar and math skills.
  • Ability to prioritize and organize work.
  • Ability to use office machines (fax, copier, calculator, etc.).
  • Strong Interpersonal and customer service skills.
  • Strong time management and organizational skills.
  • Basic accounting skills.
  • Accurate and detail oriented with good verbal and written communication skills.
  • Familiar with reception desk functions.
  • Ability to deal with all types of people and personalities.
  • Able to use common sense understanding to follow written and verbal instructions.
  • Flexible, with an ability to multi-task.

  • Ability to work effectively with people from diverse backgrounds.

Preferred Skills, Knowledge & Experience:

  • Additional college or university courses in administration or another job-related field.
  • Additional job-related experience in an office setting.
  • Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.
  • Knowledge and understanding of County of Chester policies and procedures.

Computer Skills:

To perform this job successfully, an individual should have:

  • Basic Office Suite Skills, (Word, Excel, Access, PowerPoint, and Explorer)

  • Basic typing / word processing skills (minimum of 40 wpm).
