Position SummaryUltra Consultants is seeking a detail-oriented and motivated Staff Accountant. This is a full-time, permanent remote position with immediate availability. The ideal candidate holds a degree in Accounting or Finance, has approximately two years of accounting experience, and is proficient in QuickBooks and standard accounting principles. This role reports to the CEO and offers meaningful opportunity for professional growth and expanded responsibility as the company continues to scale.
Key ResponsibilitiesGeneral Accounting & Bookkeeping▪ Maintain accurate general ledger entries and ensure adherence to GAAP and fundamental accounting principles
▪ Perform month-end and year-end close procedures, including journal entries, reconciliations, and adjustments
▪ Prepare and maintain financial reports, schedules, and supporting documentation
▪ Assist with budget preparation and variance analysis as needed
▪ Ensure compliance with internal controls, accounting policies, and applicable regulations
Accounts Receivable & Accounts Payable▪ Manage the full AR cycle: invoice generation, client billing, cash application, and collections follow-up
▪ Manage the full AP cycle: vendor invoice review, coding, approval routing, and timely payment processing
▪ Monitor aging reports and proactively communicate on outstanding balances or payment issues
▪ Reconcile bank and credit card statements on a regular basis
▪ Maintain accurate vendor and client records in QuickBooks
Payroll Management▪ Process semi-monthly or bi-weekly payroll accurately and on time in coordination with the HR and operations team
▪ Manage payroll records, ensure proper withholding, and maintain compliance with federal, state, and local payroll tax requirements
▪ Coordinate with the payroll service provider (TriNet) and serve as the internal point of contact for payroll-related questions
▪ Reconcile payroll records to the general ledger and resolve discrepancies promptly
Systems & Reporting▪ Use QuickBooks as the primary accounting platform for all daily transactional accounting functions
▪ Leverage Microsoft Excel for financial analysis, reconciliations, and ad hoc reporting
▪ Collaborate with leadership on financial reporting needs and special projects
▪ Identify and recommend process improvements to increase accuracy and efficiency
QualificationsRequired▪ Bachelor’s degree in Accounting, Finance, or a closely related field
▪ Approximately 2 years of accounting experience; recent graduates with strong internship backgrounds will be considered
▪ Proficiency in QuickBooks (Desktop or Online)
▪ Solid working knowledge of GAAP and fundamental accounting principles
▪ Strong experience with accounts receivable, accounts payable, and payroll processes
▪ High attention to detail with excellent organizational and time management skills
▪ Comfortable working independently and managing priorities in a fully remote environment
▪ Proficiency in Microsoft Excel and the full Microsoft 365 suite
Preferred▪ Experience with Bill.com or similar accounts payable automation platforms
▪ Familiarity with TriNet or other PEO / payroll service providers
▪ Prior experience in a professional services, consulting, or technology firm
Work Environment▪ Fully remote position — must maintain a professional, distraction-free home office suitable for remote work and occasional virtual client interaction
▪ Regular use of Microsoft Teams, Zoom, and other digital collaboration platforms for internal team meetings and communication
▪ Strong internet connection and self-directed work habits are essential
▪ Core business hours are expected; flexibility within those hours is supported
