We are seeking a highly motivated and detail-oriented Staff Accountant to join our dynamic finance team. In this role, you will be responsible for managing vendor payments, client invoicing, and account reconciliation, ensuring the accuracy of our financial records in QuickBooks Online. You will play a crucial role in maintaining the financial health of our organization and will have the opportunity to contribute to process improvement initiatives; below is an overview of some of the responsibilities.Accounts Payable (AP): Process, verify, and reconcile invoicesMaintain accurate vendor records, including W-9s and payment termsEnsure accurate expense coding and budget alignmentObtain department approvals for invoices and paymentsMonitor AP aging reports and ensure timely paymentsPrepare and process vendor payments (electronic and checks)Manage AP HubSpot tickets and inquiriesAssist with month-end close and prepare audit documentationAccounts Receivable (AR) & Invoicing: Generate and process client invoices accuratelyMonitor and reconcile AR accounts, ensuring timely collectionsManage AR HubSpot tickets and address customer inquiriesTrack AR aging reports and assist with collectionsEnsure invoices comply with contracts and billing requirementsCollaborate with internal teams to resolve discrepanciesCompany Credit Card & Expense Management: Monitor and reconcile company credit card transactionsEnsure receipts are attached to transactionsFollow up on missing receipts and resolve discrepanciesEnsure proper expense classification for credit card purchasesStreamline credit card expense tracking and suggest improvementsExcel & Financial Reporting: Utilize Excel for financial reporting, reconciliations, and data analysisUse Excel formulas, pivot tables, and data analysis toolsAssist with cash flow tracking, budgeting, and forecastingProcess Improvement & Efficiency: Analyze AP and AR workflows for automation opportunitiesImprove financial accuracy and reporting processesStandardize vendor onboarding and documentationEnhance credit card and expense reconciliation processesRequirements: 2-4 years of experience in accounting, accounts payable, or accounts receivableProficiency in QuickBooks OnlineStrong Excel skills (formulas, pivot tables, data analysis)Experience using HubSpot for AP/AR ticketing is a plusKnowledge of financial reporting, invoicing, and reconciliationsStrong attention to detail, accuracy, and organizational skillsExcellent problem-solving and workflow improvement abilitiesAbility to work independently and collaborativelyBenefits: Medical, Dental, and Vision Insurance401(k) with company matchGenerous PTO and paid holidaysProfessional development opportunitiesEmployee assistance programCompany-sponsored events and activitiesHybrid Work Environment (One week in office per month)Pay Range: $22-25/hourSeniority level: AssociateEmployment type: Full-timeJob function: Accounting/Auditing and FinanceIndustries: IT Services and IT Consulting#J-18808-Ljbffr

Jennifer Hanna, Chief Executive Officer
Jennifer is a co-founder of the company and has expertise in all aspects of the business. Jennifer has been in the language service industry for over 30 years as an interpreter and translator. Having also owned six successful small businesses in California since 1980, Jennifer is and has been a community leader, providing employment to Californians for decades.

Jennifer’s extensive interpreting experience and proven track record of being a successful business owner led to her to start a language service company of her own.  Jennifer earned her Bachelor’s Degree in Business Administration from the University of Baghdad.

Tom Hanna, Esq., President
Tom is also a co-founder of the company and has expertise in all aspects of the business. Tom is a member of the California State Bar Association, earning his Juris Doctor degree from California Western School of Law. Tom also has a Bachelors Degree in Business Administration, graduating from the University of San Diego.

With experience at the United States District Court, the Social Security Administration, and public interest law firms providing pro bono legal services to victims of human and civil rights violations, Tom eventually shifted his focus back to the private sector when helping to form Hanna Interpreting Services. Having spent time on both ends of the spectrum as a public servant and as a public advocate, Tom brings a unique perspective to the company that ensures the highest level of services are being offered to our clients and those they serve.
