Brief Description of Duties

The Staff Assistant, Events and Logistics assist various duties including scheduling space, coordinating logistical details for events, and building/theater operations. Provides on-site evening/weekend supervision of event operations as directed by the supervisor. Hires, trains, and supervises event staff.

Essential Duties and Responsibilities

  1. Assist with event operations to ensure spaces are event-ready which includes opening and closing facilities, and liaising with other university staff as necessary. Perform walk-throughs of spaces used for events to monitor customer use and needs. Upkeep and organize event inventory while following proper action and/or reporting protocols.

  2. Provide coordination of department event staff (crowd control, audience management, ushers, etc.) at events held in university venues as assigned.

  3. Coordinates university-wide scheduling of university student club, department, and external client space use using 25Live, Lynx-SYS, and Banner for co-curricular and university academic scheduling, and for-credit class scheduling as needed.

  4. Coordinates on-site department representation for scheduled meetings and events held at university campuses (ex. Van Ness, Community College, Old Congress Heights, Firebird Farm, and the Ronald Reagan Airport Hanger) cooperatively and collaboratively with other Events and Operations Coordinators to ensure satisfactory service delivery and monitor proper space use as needed.

  5. Recruit, hire, and train student event assistants and customer care staff. Provide secondary supervision to other staff on duty regarding the coordination of event execution and logistics.

  6. Contributes to informational data sheets and or briefings related to space use and event coordination. Distributes collects and analyzes space use report data as requested.

  7. Performs other duties and responsibilities as assigned that are related to those enumerated above which do not alter the basic level of responsibility of the position.

Minimum Job Requirements

  1. Bachelor's degree

  2. Two (2) years of progressive experience in event management and customer service in a higher education environment. Experience in theater management is a plus.

  3. Experience hiring, training, and supervising staff.

  4. Sound understanding of event services (event planning, space scheduling, conference services, etc.)

  5. Experience using scheduling software programs such as 25Live or EMS.

  6. Excellent verbal and written communication skills; ability to listen, clearly articulate thoughts/directions/expectations and develop reports/proposals and make presentations.

  7. Possess strong interpersonal skills and the ability to establish and maintain effective working relationships with VIP guests, senior government officials, a diverse population of students (post-traditional and international), academic departments, external organizations, and the public.

  8. Exceptional customer service skills. Ability to apply critical thinking to solve problems calmly as unforeseen situations arise.

  9. Ability to work evenings and weekends as required.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation. The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia. The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
