Job Description Summary
The Staff Assistant supports the Health Sciences Division by providing high-quality administrative, clerical, and operational support to faculty, staff, and students. This role plays a key part in ensuring smooth day-to-day operations, supporting student success, and maintaining compliance within health sciences programs.
Minimum Qualifications
Required:
- Associate's degree or 5+ years of years of relevant administrative or program support experience. Note: Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC.
- Strong organizational and multitasking skills.
- Experience with Microsoft Office or Google Workspace.
- Ability to work in a collaboratively in a fast-paced, team-oriented environment.
Preferred Qualifications
Preferred:
- Experience in higher education, healthcare, or program coordination.
- Familiarity with student systems, learning management systems, or compliance tracking tools.
Essential Duties
Essential Duties and Responsibilities: including the following along with other duties as required.
Program & Operational Support:
- Coordinate day-to-day administrative operations for Health Sciences programs.
- Support faculty with scheduling, course materials, and program logistics.
- Assist with clinical compliance tracking and student onboarding processes.
- Maintain accurate records, reports, and program documentation.
Student & Faculty Support:
- Serve as a key point of contact for students, faculty, and the public.
- Support student onboarding, registration, and advising events.
- Provide guidance and connect students to resources for success.
- Assist with faculty onboarding and ongoing support needs.
Budget & Administrative Coordination:
- Support purchasing, travel requests, and budget tracking.
- Monitor transactions, and follow-up to ensure timely processing.
- Maintain organized records of financial and operational activities.
Events & Engagement:
- Assist with program events such as orientations, graduations, and recruitment activities.
- Coordinate meetings, prepare materials, and document key takeaways.
- Support community engagement advisory board activities.
