Staff Assistant I - Traffic Department

Join our team at the Alachua County Clerk of the Circuit Court as a Staff Assistant. Summary: Performs a variety of clerical duties relating to traffic and other civil infraction cases, including the processing and maintenance of records and associated payment of fees and court costs. Ensures that documents are accurately and efficiently handled and serves as a point of contact for the public and legal professionals, providing exceptional customer service and maintaining the integrity of court records. For new hire placement, this position is historically filled at a Level I. Active staff members in this position have the opportunity to progress to Levels II-IV, as the employee becomes proficient in more advanced and specialized tasks.

  • Assists internal and external customers by phone, email, and in person; provides general information or directs to appropriate department/entity. Shifts will be split between phones and counter for the day.
  • Processes traffic records including, but not limited to Orders of Consolidation, Portal DDC certificates, E-citations, Nolles, and other legal records, as well as the associated payment of fines or court costs.
  • Processes Missing License Class Report; Commercial License Report, as well as checks the D6 Clearance Report.
  • Processes hearing requests received via fax.
  • Processes mail, legal documents from the judge's run, and any other paperwork that requires docketing.
  • Performs various clerical duties such as operating fax, scanning, printing, and copy machines.
  • Performs routine data entry in maintaining and updating information.
  • Maintains integrity and confidentiality of records and filing systems; maintains case files and assists in case flow management.
  • Reviews and verifies all work processes to ensure accuracy and completion of task performed.
  • Supports the Clerk's office through regular, in person attendance.
  • Supports the Clerk's Office through cross-training initiatives.
  • Performs other duties as required, including court appearances, and additional work as needed to cover absences or otherwise balance workload.

Qualifications: High School graduate or possession of an acceptable equivalent diploma required. Associate's degree or higher education in a related field is a plus. Previous experience in a legal or clerical environment; experience in case management; and/or customer service is advantageous. Must have attention to detail and the skill to produce accurate, time-sensitive work; proficiency in basic computer operations in a Microsoft Windows environment; excellent verbal and written communication skills; ability to handle confidential and/or sensitive information; dependability; critical thinking skills; and adaptability.
