What You'll Do:
Tufts Annual Giving seeks a Staff Assistant to provide administrative, operational, financial, and project management support for the team. This role supports day-to-day operations, purchasing and budget administration, stewardship activities, data management, meetings, and team projects while serving as a resource for staff and university partners.
Administrative & Operational Support Provide administrative support for the Tufts Annual Giving team and help maintain efficient office operations. Coordinate the purchasing of supplies and services in coordination with other university departments including Procurement, Facilities, and Technology Services. Respond to inquiries and provide guidance on departmental procedures. Process requisitions, invoices, reimbursements, and reconcile Purchasing Card transactions. Maintain budget tracking reports and including vendor payment follow-up and purchasing requests. Support staff with budget-related questions. Assist with training student workers or temporary staff as needed Perform other duties as assigned
Fundraising & Stewardship Support, Data Management Manage a general email inbox. Respond to routine donor and alumni inquiries with a positive and audience-centric approach. Connect constituents with the correct department or staff member when needed. Produce leadership giving acknowledgements and thank you cards in a timely manner Support stewardship projects by producing donors lists and completing list pulls Produce and track pledge reminders for the Tufts Annual Giving team Assist with data entry and reporting Assist Tufts Annual Giving Marketing with project management, performance reporting
What We're Looking For:
Basic Requirements: Knowledge and experience typically acquired by:
High School Diploma
2-4 years administrative experience
Intermediate proficiency with Microsoft Office; especially Excel
Experience handling financial transactions and administrative processes.
Strong organizational, customer service, and communication skills.
Attention to detail and ability to manage multiple priorities.
Preferred Qualifications:
Bachelor's Degree
1-3 years administrative experience with bachelor's degree
Experience in higher education, fundraising, or nonprofit administration.
Familiarity with CRM or donor databases and financial processing systems.
Experience supporting budgets, purchasing, or invoice processing.
Salary Range:
Minimum $23.00, Midpoint $27.35, Maximum $31.70
