Overview:

The Staff Scheduling Assistant is responsible for handling scheduling and payroll operations, ensuring proper coverage, accurate timekeeping, and adherence to organizational practices and guidelines. The role maintains department schedules, tracks staff attendance, and resolves scheduling conflicts. The role supports data maintenance, assists with special projects, and ensures seamless workflow integration.

Responsibilities:

Supports all scheduling and payroll operations, including creating and maintaining work schedules for team members and managing department position controls.
• Coordinates new hire orientation schedules, enrols team members in required classes, completes security requisitions, and performs other onboarding duties.
• Balances daily work schedules and shifts, adjusting as needed to meet staffing requirements, and identifies staffing needs across departments, providing input on hiring decisions for proper coverage.
• Tracks attendance, reviews, approves, and denies staff Paid Time Off (PTO) requests and Full-Time Equivalent (FTE) changes in line with department policies.
• Collaborates with leaders, schedulers, and timekeepers to ensure accurate system-wide schedules, timecards, payroll processing, and resolves discrepancies in UKG timekeeping.
• Manages scheduling needs for translation and interpretation services to ensure clear communication with patients.
• Trains and orients new staff on the scheduling systems (such as Web Scheduler and One Staff) to ensure smooth workflow integration and ensures that team members’ licensure and certifications are current.
• Works with management to resolve scheduling and payroll issues, ensuring smooth operational functioning.

Qualifications:

High school diploma or GED equivalent required. Associate’s degree in business administration or related field preferred.

At least one year of secretarial, administrative, or clerical experience with an emphasis on staffing and productivity required.
