Job Summary:

Maintains accurate computerized scheduling system

Duties & Responsibilities:

•    Enters accurately all Nurses and MHW schedules for all the inpatient and partial Hospital units.
•    Identifies areas to improve in the scheduling system.
•    Ensures new hires schedules are entered in a timely manner.
•    Enters all peer switches and vacation requests, MLOA etc. in timely manner
•    Prints out daily and weekend schedules for the nursing supervisor's use.
•    Prints out and posts float staff and per diem assignments
•    Maintains accurate staffing template for each u nit
•    Reviews schedules for discrepancies and brings to attention of Director Nursing Operations
•    Provides reports of staffing activities to the Nurse Managers
•    Communicates with nurse managers information about staff call outs
•    Communicates compassionately with staff in securing their assistance
•    Works with Director of Nursing Operations to maintain adequate staffing
•    Communicates with Nursing Supervisors regarding shift schedules and needs
•    Assigns float staff/per diem/ casual staff according to administrative/union guidelines
•    Demonstrates knowledge of union contract in staffing open positions and managing vacation requests
•    Makes all necessary telephone calls to fill unit staffing needs
•    Completes log of individuals called and responses
•    Completes Staffing seniority forms and freeze in lists for the next shifts and weekends
•    Reports problems to the Director of Nursing Operations
•    Monitors short term availability list for staffing needs
•    Attends office operations meetings
•    Attends orientation and annual education in services
•    Observes all applicable Hospital policies and procedures
•    Completes other duties as assigned

Requirements:

High School Graduate. Associates degree in secretarial field preferred. Computer expertise required and prior scheduling experience preferred. Must be able to multi-task and perform capably in a pleasant manner under stress in a busy office.
