Overview
Reporting to the Lead Administrator of the Chemistry Department. Supervises and executes the ongoing administrative and financial functions of the Chemistry Department Stockroom.
Responsible for purchasing, shipping, receiving and storage of inventory and equipment. Supervises, hires, trains, disciplines, and sets priorities and schedules for assigned clerical and technical employees. Supervises purchasing activity including approval of invoices and review and approval of purchasing transactions. Researches and reconciles invoices on hold. Monitors and ensures inventory levels are maintained and vendor support is sufficient to provide timely delivery of material for research and teaching demands including but not limited to time sensitive and natural loss occurring products. Oversees inventory and monthly billing systems. Contributes to the monthly financial review. Conducts annual physical and cycle count inventories. Reviews reports for accuracy and completeness. Researches financial and pricing discrepancies and takes corrective action. Serves as initial point of contact and source of information and guidance to faculty, students, and staff for purchasing related inquiries including communicating and ensuring compliance with university policies and procedures. Provides a high level of customer service.
Monitors Facilities activities within the department's buildings and acts as liaison to Facilities maintenance and custodial teams. Submits, tracks, and follows up work orders submitted by self and other department members. Coordinates activities in the buildings including system shutdowns, common area cleaning bulk item disposal, and special projects. Oversees keys and access control.
Supervises a technical or clerical staff function within a unit or department of an administrative office. Responsibilities include managing program development, providing services to students, faculty, and staff, coordinating academic affairs, and overseeing grants and fundraising. The role involves hiring and evaluating staff, maintaining compliance with various guidelines, developing training programs, ensuring regulatory compliance, managing laboratory equipment and safety, and resource management. The incumbent will also develop and maintain quality assurance programs, manage inventory and supplies, and ensure efficient workflow and documentation.
Required Skills and Abilities
Proven supervisory skills with the ability to lead, motivate, evaluate, and develop staff.
Excellent communication skills, both written and verbal, to explain complex concepts and interact professionally with a diverse audience.
Strong organizational and multitasking abilities to handle multiple priorities and ensure efficiency in a fast-paced environment.
Proficiency in using standard office software such as Microsoft Office.
Demonstrated problem-solving skills and the ability to make independent decisions.
Preferred Skills and Abilities
Certification from a recognized professional organization relevant to the field.
Experience working with specialized software or management systems related to the role.
Knowledge or experience in a relevant technical or clinical field.
Experience supervising staff in a unionized environment.
Familiarity with quality assurance and regulatory compliance standards.
