Strategic Programs & Administrative Lead

Reporting to the Executive Director, the Strategic Programs & Administrative Lead of Holistic Health & Wellness provides advanced administrative and project support to the Senior Leadership Team, including the Executive Director, the Senior Director of Mental Health, and the Student Health Services (SHS) Chief Medical Officer. Operating as the department's operational "command center" within a fast-paced and highly confidential environment, this role serves as a vital liaison across clinical and mental health divisions to ensure leadership effectiveness through complex calendaring and high-level coordination. The position bridges the gap between technical operations and community engagement by synthesizing data into high-impact presentations, maintaining departmental policies, and designing creative communications—such as flyers andannouncements—to promote holistic health initiatives and events to the UCR campus community.

This role may require hours outside the standard Monday through Friday 8AM - 5PM work hours based on operational need. This position will work out of the Student Health & Counseling Center.

Educational Requirements

A Bachelor's degree or equivalent experience in a related field - Required

Experience Requirements

Minimum of 4-7 years of experience providing high-level administrative support. This must include managing complex calendars for senior-level leaders (Directors, Department Heads, or equivalent). - Required

Demonstrated experience tracking deliverables, meeting deadlines, and coordinating multiple stakeholders for departmental initiatives or special projects. - Required

Proven experience drafting and editing formal correspondence, reports, and meeting minutes for a professional audience. - Required

Experience working in an environment that requires a high degree of discretion and the handling of sensitive information (e.g., personnel, legal, or health records). - Required

Experience using Microsoft Suite (ex: Excel, Word, Powerpoint) for data organization, reporting or creating presentations - Required

Prior experience in a student health center (SHS), mental health department, or similar clinical/academic environment. This includes familiarity with HIPAA and FERPA privacy standards. - Preferred

Familiarity with University of California policies and systems (e.g., Concur, Oracle, or local UCR platforms). - Preferred

Experience coordinating logistics for large-scale events such as wellness fairs, staff retreats, or student town halls. - Preferred

Practical experience using design software (like Canva or other design program) to create promotional materials - Preferred

Experience assisting leadership with the administrative side of long-term strategic planning, such as organizing retreats or mapping out multi-year goals. - Preferred

Special Conditions

Occasional travel for university related business meetings, conferences and/or professional development. - Required

Minimum Requirements

Exceptional written and verbal communication skills; ability to draft professional correspondence and reports with minimal oversight.

Experience using Canva, Adobe Creative Suite, or similar tools to create professional flyers, announcements, and digital assets.

Demonstrated ability to handle highly confidential and sensitive information (such as HIPAA/FERPA) with absolute professionalism and political acumen.

Ability to gather, compile, and synthesize complex data sets into clean, digestible reports or infographics.

Ability to handle high-stress inquiries from concerned parents, students, or staff with calm and professional empathy.

Ability to navigate complex institutional hierarchies and maintain diplomatic relationships with diverse stakeholders.

Ability to manage multiple projects simultaneously while maintaining a high level of accuracy under pressure.

Ability to forecast the needs of leadership and the department by identifying potential bottlenecks or requirements before they arise.

Ability to provide "just-in-time" support, ensuring leaders are prepared and projects remain on track without the need for constant direction.

Exercises high-level intuition to independently adjust schedules, initiate follow-up actions, and mitigate administrative friction to ensure seamless operational continuity.

Executive Calendaring & Coordination Serve as the primary coordinator for complex executive calendars, managing high-volume scheduling across multiple leaders and stakeholders. Prioritize and resolve competing demands, ensuring alignment with executive and organizational priorities and clinical needs. Coordinate meetings with campus leadership, UC system partners, and external stakeholders. Prepare agendas, briefing materials, and meeting logistics to ensure executives are fully prepared.
