Position Summary :
The Structured Cabling Project Coordinator supports the successful execution of small, medium, and large-scale low-voltage and structured cabling projects across commercial, retail, government, defense, and other customer environments. This position works directly with Structured Cabling Project Managers, field technicians, vendors, general contractors, construction managers, and customers to keep projects organized, financially controlled, and progressing toward successful completion.
This is a hands-on project delivery coordination role with a strong emphasis on low-voltage cabling, material management, estimating support, vendor coordination, purchase orders, project documentation, and financial accuracy. The ideal candidate understands how structured cabling projects are built and can translate drawings, takeoffs, bills of material, field requirements, and vendor information into organized project execution.
The Coordinator is expected to manage details independently while partnering closely with the Project Manager. The role should be comfortable working with copper and fiber cabling, pathways and spaces, racks and cabinets, patch panels, termination hardware, labeling, testing, and related low-voltage infrastructure. The successful candidate is highly organized, financially disciplined, and proactive in identifying issues before they affect schedule, cost, quality, or customer expectations.
Essential Functions :
- Support Project Managers with planning, scheduling, coordination, and administration of structured cabling and low-voltage projects from kickoff through closeout.
- Review project scopes, drawings, specifications, floor plans, and field information to understand cabling requirements and project deliverables.
- Perform or support material takeoffs and build accurate Bills of Materials (BOMs) for copper, fiber, pathways, racks, cabinets, patch panels, jacks, faceplates, termination hardware, labeling, cable management, and related materials.
- Obtain and compare vendor/subcontractor pricing, confirm material availability and lead times, and support cost-effective procurement decisions.
- Create, issue, track, and reconcile purchase orders for materials, subcontractors, and project-related services in accordance with company processes.
- Coordinate vendors, subcontractors, distributors, manufacturers, general contractors, construction managers, and field technicians to keep project activities aligned.
- Track material orders, backorders, shipping, delivery dates, staging requirements, and site readiness to prevent installation delays.
- Maintain project financial information, including committed costs, purchase orders, vendor invoices, change orders, material costs, and project budget information.
- Support Project Managers with financial reporting, cost tracking, forecast updates, and identification of potential margin erosion.
- Coordinate change orders and ensure scope changes are documented, priced, approved, and communicated before work proceeds whenever practical.
- Maintain accurate project documentation including drawings, takeoffs, BOMs, purchase orders, change orders, as-builts, test results, labeling records, and closeout packages.
- Participate in site surveys, pre-construction meetings, coordination meetings, and post-installation reviews as required.
- Coordinate site access, material staging, logistics, technician schedules, and other field requirements.
- Monitor project milestones and identify schedule, material, vendor, labor, scope, or financial risks; escalate issues to the Project Manager promptly.
- Work with field technicians to verify that installation requirements, drawings, specifications, customer standards, and applicable industry practices are understood.
- Support quality control by reviewing documentation, testing requirements, labeling requirements, and closeout deliverables.
- Communicate professionally with customers, vendors, general contractors, and internal stakeholders through email, phone, meetings, and project systems.
- Travel to project sites as required to support project execution and customer needs.
Low-Voltage / Structured Cabling Knowledge :
- Working knowledge of Category 5e, Category 6, Category 6A, fiber optic, and other structured cabling systems.
- Understanding of copper and fiber pathways, cable tray, J-hooks, conduit, sleeves, raceway, innerduct, ladder rack, and other cable support infrastructure.
- Familiarity with telecommunications rooms, equipment rooms, MDF/IDF environments, racks, cabinets, patch panels, cable management, grounding/bonding, and demarcation locations.
- Ability to read and interpret construction drawings, floor plans, reflected ceiling plans, riser diagrams, cabling schematics, and low-voltage design documentation.
- Understanding of cable routing, pathways, space requirements, labeling, testing, certification, and as-built documentation.
- Familiarity with TIA/EIA, BICSI, NEC, customer specifications, and applicable project standards.
- Ability to understand the difference between customer scope, carrier scope, electrical scope, general construction scope, and structured cabling scope.
Financial & Vendor Management :
- Maintain accurate project cost information and understand the relationship between labor, material, subcontractor costs, revenue, and project margin.
- Review vendor and subcontractor quotes for scope alignment, pricing, exclusions, lead times, and assumptions.
- Coordinate procurement and purchase orders while maintaining appropriate project cost controls.
- Track committed versus actual project costs and communicate variances to the Project Manager.
- Assist with vendor performance management, including schedule adherence, quality, responsiveness, and commercial issues.
- Support invoice review and validation against purchase orders, approved scope, and completed work.
- Demonstrate strong business discipline and recognize when a project decision may affect profitability.
Required Qualifications :
- 3+ years of experience in structured cabling, low-voltage construction, project coordination, estimating support, field operations, or a closely related environment.
- Demonstrated understanding of structured cabling and low-voltage construction practices.
- Experience with material takeoffs, BOM development, construction drawings, or project material planning.
- Experience coordinating vendors, subcontractors, general contractors, construction managers, and field personnel.
- Experience creating or managing purchase orders and project-related procurement.
- Working knowledge of project financials, cost tracking, invoicing, budgets, or margin management.
- Strong organization, communication, problem-solving, and follow-through.

- Experience supporting commercial, retail, government, defense, healthcare, education, or other complex customer environments.
- Experience with estimating, takeoff software, Visio, CAD, or construction management platforms.
- Knowledge of RCDD-level design concepts is a plus, but not required for this Coordinator role.
Success Factors :
- Highly organized with exceptional attention to detail.
- Understands that small errors in takeoffs, BOMs, purchase orders, or project documentation can create significant cost and schedule impacts.
- Proactively follows up with vendors and internal stakeholders rather than waiting for updates.
- Comfortable working with both field personnel and business/financial stakeholders.
- Understands the relationship between scope, schedule, cost, quality, and customer satisfaction.
- Identifies risks early and escalates them with facts, options, and recommended next steps.
