Student Account Specialist

Xavier University is seeking a dedicated and student-focused Student Account Specialist to join the Bursar team. This role provides front-line service to students, families, faculty, and staff by assisting with student account questions, payments, refunds, departmental deposits, and related financial processes.

The Student Account Specialist plays an important role in supporting this mission by helping students and families navigate the financial aspects of their Xavier experience with accuracy, care, and professionalism. The successful candidate will be detail-oriented, collaborative, and committed to providing excellent service in a fast-paced office environment.

JOB RESPONSIBILITIES:

  • Provide customer service to students, families, faculty, and staff by phone, email, and in person, including responding to account questions and assisting with payment-related needs.

  • Process student account payments, departmental deposits, tuition credits, deposit refunds, returned payments, and related transactions.

  • Reconcile daily transactions to the general ledger and collaborate with campus partners such as the Controller’s Office, Financial Aid, Student Involvement, and Admissions.

  • Manage student refund processes, including processing, issuing, tracking returned refunds, and communicating with students and families.

  • Train, schedule, supervise, and support student workers who provide front-line service in the Bursar Office.

JOB REQUIREMENTS

  • High school diploma or GED required.

  • Bachelor’s degree preferred.

  • 1–3 years of relevant experience required.

  • 1–3 years of general accounting experience may substitute for a bachelor’s degree.

  • Strong customer service, communication, analytical, and problem-solving skills.

  • Ability to handle sensitive and confidential information with professionalism and discretion.

  • Ability to manage multiple priorities, interpret varied situations, and work both independently and collaboratively.

  • Proficiency with office technology and ability to learn new systems and processes.
