Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.
Job Summary
The Student Accounts Representative administers complex student account functions impacting 20k+ students annually, requiring independent judgment to evaluate, interpret, and determine financial transactions. The role requires advanced knowledge of institutional, USG, state, and federal regulations, along with proficiency in Banner and related systems. This position manages the universitys third-party sponsorship billing portfolio exceeding $1.6M annually, supporting 400+ students and ensuring accurate invoicing, reconciliation, and audit-ready documentation to mitigate financial and regulatory risk. Responsibilities include foundation invoicing, and oversight of payment processing and compliance activities. Serving as a primary contact for students, departments, and external partners, the role resolves complex account issues, supports audit and fee payment deadline processes, and analyzes TAP waiver activity and debt management initiatives. The position collaborates across campus and with external partners to ensure compliance and accuracy. Additionally, the role provides backup for refund processing and cashiering, applying advanced analytical skills to interpret policy, safeguard sensitive data, and maintain the integrity of university receivables.
Responsibilities

Financial Processing & Account Management: Administer third-party sponsorship billing portfolio exceeding $1.6M annually, managing over 30 different sponsor accounts and ensuring timely invoicing, reconciliation, and compliance with institutional and external partner requirements. Duties include verification, invoicing, voucher and award letter processing, payment application, reconciliation, and detailed record retention. Create and submit invoices through various vendor portals and ensure timely and accurate updates to student accounts. Process and reconcile high-volume third-party payments (including checks, ACH deposits, and credit cards), ensuring timely application and maintaining an impeccable accuracy rate. Apply additional account-related charges, including bookstore and other eligible charges, to student accounts and ensure inclusion on applicable invoices. Coordinates Foundation scholarship billing, including invoice preparation, account reconciliation, correction of budget failures, and coordination with Foundation personnel.

Financial Analysis, Reconciliation & Compliance: Analyze and reconcile complex student account activity using multi-system data to identify discrepancies, determine root causes, and implement corrective actions. Interpret University System of Georgia (USG), institutional, state, and federal regulations and policies to resolve issues and ensure account accuracy minimizing financial and regulatory risk. Independently resolves over 2k complex account issues without escalation annually. Analyze TAP waiver activity and support reconciliation and compliance review. Oversee debt management initiatives, including account review and correspondence.

Customer Engagement & Cross Campus Collaboration: Serve as a subject matter expert and primary point of contact for 20K+ students anually, multiple campus departments, sponsors, external agencies, and the University Foundation regarding complex student account matters, billing inquiries, and payment activity. Communicate account updates, billing changes, and discrepancy resolutions clearly and effectively to students and external partners. Consult and collaborate with campus partners and external agencies to interpret policy, resolve complex billing issues, and ensure consistent application of regulations, regarding third-party sponsorships, VA billing, and other external funding sources to ensure compliance.

Operational Support & Process Improvement: Support fee payment deadline administration and related operations impacting student enrollment and retention, including student schedule drops and reinstatement activities, in coordination with leadership. Provide backup support for refund processing and cashiering operations to ensure continuity of critical financial services and in-person support. Identify and implement process improvements to enhance billing, reconciliation, and payment workflows, resulting in increased efficiency, reduced processing time, and improved data accuracy.

Banner or ERP system experience (strongly preferred).
Proposed Salary
$16.94 - $19.06 hourly. Paid on a bi-weekly basis.

Ability to analyze account activity and resolve discrepancies independently. Ability to communicate clearly with students, staff, and external partners regarding financial matters. Physical Requirements Office Environment - Work normally performed in a typical interior work environment.
KNOWLEDGE
Knowledge of financial portfolios and billing processes. Experience applying policy and/or regulatory requirements. Experience with Banner, other related student financial systems, or vendor billing portals
SKILLS
Strong attention to detail with demonstrated accuracy in financial transactions. Financial analysis and reconciliation, invoicing and payment processing, with excellent communication skills to explain complex changes and discrepancy resolutions clearly to diverse populations.
