Position Overview:
The Office of Student Affairs is seeking a motivated, organized, and reliable undergraduate student to join our team as a Student Office Assistant. This role is the "face and voice" of our department, serving as the first point of contact for students, faculty, staff, and families.
The ideal candidate will thrive in a fast-paced environment, balancing frontline customer service with essential administrative tasks, digital content creation, and event logistics.
Responsibilities:
Front Desk & Customer Service
Greeting & Reception: Welcome walk-in visitors warmly, answer questions, and direct them to the appropriate campus resources or staff members.
Communication Management: Manage the main office telephone line and the general departmental email inbox; take accurate messages and route inquiries efficiently.
Dining Operations, Data, & Financial Support
Dining Data & Reporting: Compile dining services data and assist in the creation of comprehensive reports using MS Excel to help track engagement, inventory, or operational trends.
Price Audits: Support the management team by conducting routine price audits to help ensure billing accuracy and product pricing consistency across campus dining locations.
General Data Compilation: Assist with tracking general student engagement and department metrics.
Communications & Digital Marketing
Presentation Development: Create and develop monthly presentation decks using tools like PowerPoint or Google Slides to support team initiatives and brief department leaders.
Dining Services Content: Create engaging content and promotional materials specifically related to dining services programs, meal plans, and upcoming communications.
Graphic Design: Utilize Canva to design eye-catching flyers, digital signage, and social media graphics to promote Student Affairs programs, deadlines, and divisional events.
Administrative Support & Event Logistics
Document Creation: Draft, proofread, and format office memos, forms, and guides using MS Word and Google Docs.
Divisional Event Assistance: Provide hands-on support for departmental and divisional events (e.g., Orientation, Family Weekend, Dining Theme Nights). Tasks include setting up tables/chairs, organizing registration materials, and assisting with clean-up.
General Office Support: Maintain a clean reception area, restock office supplies, scan documents, and handle other projects as assigned.

Required Qualifications:
Academic Standing: Must be a current Sophomore, Junior, or Senior in good academic standing.
Enrollment Status: Must maintain full-time student status (minimum of 12 credit hours per semester for undergraduate students) during the period of employment.
Minimum GPA: Must possess and maintain a cumulative GPA of $2.50 or higher (or the standard departmental minimum).
Experience: Prior experience working in an office setting, retail, customer service, or an active student leadership role.
Tech-Savvy: Digital literacy with standard office applications, including MS Word, Google Docs, Canva, and presentation software (PowerPoint/Google Slides). Intermediate comfort level with MS Excel for data entry and basic sorting.
Soft Skills: High level of organization, keen attention to detail (crucial for financial price audits), strong reliability, and excellent verbal and written communication skills.
Preferred Qualifications:
Cumulative GPA of $3.0 or higher.
Prior experience with retail/dining auditing, data tracking, or digital content creation.
Familiarity with university structures, campus resources, and campus dining services.
Ability to work independently with minimal supervision and handle confidential student information with discretion.
