Job Summary

Provides comprehensive administrative support to the Office of the Dean with a focus on student and guest support.  Responsibilities include coordinating and managing administrative tasks related to students and guests including travel, business process support, event support, and other academic initiatives.  Also supports various departments with communication, event planning and day-to-day office operations.      

Primary Job Responsibilities

  • Provides administrative support to the Dean’s Office and law school as a whole, with an emphasis on business and administrative processes for students and guests to the law school.

  • Ensures consistency of process and compliance with University policies for all law departments.

  • Serves as primary point of contact for visitors to the Dean’s Suite (including in-person, via phone, and email/online); assesses inquiries to determine appropriate follow-up actions.

  • Manages all of the law school's student workers.

  • Manages the mailroom for incoming and outgoing mail to the law school. 

  • Coordinates travel arrangements, maintains calendars, and duplicates and distributes materials for all student and guest travel.

  • Assists with travel reimbursements and ensures that expenses are submitted in compliance with university policies and financial systems.

  • Maintain digital and physical files related to the travel and events that this position supports. 

  • Answers and returns telephone calls and e-mails regarding questions and concerns of department/programs, communicates and interprets policies and procedures, and may develop procedures for assigned areas.

  • Handles confidential issues and sensitive records on a regular basis using discretion and judgment.

  • Performs other duties as assigned.

Knowledge, Skills, and Abilities

  • Strong planning, organizational, and problem-solving skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Suite, and various web applications.

  • Strong communication and customer service skills, including the ability to manage inquiries and issues effectively.

  • Ability to handle confidential information with discretion.

  • Ability to work independently and manage multiple tasks in a fast-paced environment.

  • Strong interpersonal and team collaboration skills, with the ability to work effectively with diverse groups.

  • Program coordination, organization, and planning skills.

  • Ability to counsel students and provide advice to faculty and staff with appropriate care and concern.

Minimum Qualifications:

  • Bachelor’s degree in a related field.

  • Three years of relevant experience in administrative or event support roles, ideally in an academic setting.
