Primary Purpose of Organizational Unit
The UNC Adams School of Dentistry Office of Clinical Operations is responsible for overseeing patient care, providing quality assurance, maintaining infection control, administering regulatory compliance and preserving fiscal stability. The Office of Clinical Operations is an integral part of the School and their primary mission is to provide the highest quality education and training to students and to provide the highest quality dental treatment available for patients.
Position Summary
The Student Clinic Manager is responsible for independently directing and managing the operational functions of the Dental and Dental Hygiene Student Clinics, Patient Admissions Clinic, and Urgent Care Clinic within the Adams School of Dentistry. These clinical operations span two floors and encompass 140 clinical operatories, including 128 operatories within the Dental and Dental Hygiene Student Clinics and 12 operatories within the Admissions and Urgent Care Clinics. The position supports the clinical education and patient care needs of more than 400 dental and dental hygiene students and coordinates operational activities involving approximately 85 full-time faculty, adjunct faculty, and residents.
The Student Clinics provide approximately 27,000 patient appointments annually, generate nearly 36,000 billable procedures, and serve a patient population of approximately 8,000 active patients. Additionally, the Admissions and Urgent Care Clinics support approximately 3,000 patient encounters annually. The Student Clinic Manager provides operational leadership for student clinical scheduling, patient flow management, clinic efficiency initiatives, operational reporting, and continuous process improvement activities supporting the School's clinical education mission.
This position develops, implements, and manages operational workflows, clinic scheduling systems, and process improvement initiatives designed to optimize chair utilization, patient access, student clinical experiences, financial collections, and overall clinic efficiency. The position exercises independent judgment and delegated authority in operational decision-making impacting daily clinic operations, scheduling infrastructure, resource utilization, and patient-centered care delivery.
The Student Clinic Manager is responsible for administration and oversight of student clinical scheduling systems within Epic, including development and maintenance of templates, rotations, chair assignments, and operational scheduling workflows across multiple clinical programs and external rotation sites. Due to the complexity of the DDS curriculum and clinical rotation structure, the position annually coordinates and develops scheduling assignments and Epic templates across Fall, Spring, and Summer semesters for students ranging from the spring semester of the first year through graduation. This process includes the creation and maintenance of approximately 13,500 daily Epic templates each year, incorporating multiple clinical sessions, rotations, faculty assignments, and patient care schedules.
The position collaborates extensively with Academic Affairs, Clinical Education, Clinical Operations leadership, ASOD IT, Patient Business Services, UNC Health Epic teams, Finance, departmental leadership, and external partners to support operational alignment, regulatory compliance, and continuous operational improvement.
This position also provides direct supervision and operational leadership for assigned personnel supporting clinic scheduling, patient access, admissions, and student clinic operations. Responsibilities include workflow oversight, training, performance management, operational accountability, and implementation of process improvements supporting efficient and effective clinic operations.
Minimum Education and Experience Requirements
Bachelor's degree and three years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
Demonstrated experience managing clinical operations, healthcare scheduling systems, patient access workflows, operational reporting, process improvement initiatives, and/or program administration within a healthcare, dental, or academic clinical environment. Experience independently analyzing operational needs, implementing workflow improvements, and coordinating complex operational activities across multiple functional units.
Strong organizational, communication, problem-solving, and project management skills required.
Preferred Qualifications, Competencies, and Experience
Experience overseeing operational workflows within a healthcare or dental clinical environment. Experience utilizing Epic or comparable electronic health record/scheduling systems to manage patient scheduling templates, clinical operations, and workflow optimization. Demonstrated experience using operational data, analytics, and reporting to evaluate clinic performance, identify operational trends, and implement process improvements. Supervisory or team leadership experience preferred.
Special Physical/Mental Requirements Campus Security Authority Responsibilities
This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities.
