Job Description Summary

ABOUT THE DEPARTMENT:

The Office of Institutional Budgeting supports the University's financial planning, budget development, monitoring, and reporting processes. The office works closely with academic and administrative departments to provide accurate financial information, assist with budget decisions, and promote responsible stewardship of University resources. This student position supports campus operations by assisting Institutional Budgeting staff with routine financial, administrative, and data-related tasks that help ensure timely and accurate service to faculty, staff, and University leadership.

POSITION SUMMARY, ROUTINE TASKS & RESPONSIBILITIES:

The Institutional Budgeting Student Assistant provides general administrative, financial, and project support to the Office of Institutional Budgeting. The student employee will work with budget documents, spreadsheets, reports, and other financial information while gaining practical experience in a professional higher education finance environment.

Routine duties may include:

  • Assist with entering, reviewing, organizing, and verifying budget and financial data.
  • Create, update, format, and maintain Excel spreadsheets, reports, templates, and tracking documents.
  • Compare financial information across reports and identify missing, incomplete, or potentially inconsistent information for staff review.
  • Assist with filing, scanning, copying, document organization, and electronic record maintenance.
  • Support annual budget planning, departmental reporting, and other recurring financial projects.
  • Conduct basic research and compile information as requested by Institutional Budgeting staff.
  • Assist with preparing correspondence, instructional materials, presentations, and departmental communications.
  • Provide courteous customer service when interacting with faculty, staff, students, and visitors.
  • Perform other administrative or project-related duties assigned by department staff.
  • Applicants should be dependable, organized, professional, and able to complete assignments accurately and within established deadlines.
  • Strong attention to detail and comfort working with numerical and financial information are preferred.
  • The position requires the ability to follow written and verbal instructions, maintain accurate records, and communicate questions or concerns appropriately.
  • The student employee may have access to confidential financial, personnel, departmental, or institutional information and must maintain confidentiality at all times.
  • Applicants should demonstrate sound judgment, integrity, and discretion when handling University information.
  • Work is performed in a normal professional office environment and may involve extended periods of computer use, filing, and occasional lifting or moving of office materials.
  • The work schedule will be arranged around the student's class schedule and the operational needs of the department.

Minimum Qualifications

  • Registered full-time SSU student
  • FASFA Completed
  • Eligible to work in the United States
  • Strong communication and interpersonal skills
  • Demonstrate reliability, punctuality, and follow instructions
  • Ability to work independently and as part of a team
  • Basic proficiency with Microsoft Office and social media platforms
  • Follow SSU dress code policy
