Summary:
Skidmore College Dining Services is looking to hire a full-time position as the Student Employment / Office Coordinator. The primary responsibilities of this position are to coordinate and administer the Dining Services student employment program and manage all student payroll functions during both the academic year and the summer. An equally important primary responsibility is managing the department's financial operations, including all accounts payable and accounts receivable functions. Responsibilities include processing invoices and billings, reconciling pass card transactions, maintaining accurate financial records, and assisting with departmental budget tracking and reporting to support sound fiscal management. This is a 35-hour per week position with occasional overtime during busy periods.
Primary Job Duties:
- Must be familiar with how the department operates and how other departments and outside companies work with or rely on Dining Services. Able to solve or direct issues to the correct person(s) in the department.
- Oversee the department student employment program throughout the year, which consists of and not limited to updating / enforcing policies, onboarding procedures, scheduling, assigning work duties, attendance tracking, tardiness, all aspects of payroll, problem solving, conflict resolution and rehiring. The program can contain up to around 400 students.
- Coordinate and conduct all aspects of yearly orientation meetings for new and returning students. This involves planning ahead to meet yearly deadline requirements.
- Coordinate the hiring of new Student Supervisors and Office Supervisors for the following year, which will include recruiting, the interview process and the offering. Will also have to set up training sessions for updated changes and policies.
- Will have to be comfortable working with many different computer software programs that support payroll, onboarding procedures, running web base programs, menu development and others functions.
- Responsible for all accounts payable, for all invoices in Dining Services and pass card for the department. Must make sure all invoices are properly recorded to correct budget line and invoiced accordingly. Updating budget throughout the fiscal year
- Responsible for recording and depositing all refund checks and any payments made to the department
- Assists supervisors as needed at events and busy operational times. Will also create menu cards or templates for events or for the dining hall
- Assists with the onboarding process of new fulltime union hires and summer help i.e. set up emails, direct deposit, demonstrating how to request time off.
- Support Associate Director to ensure that all Dining Services employees are up to date on Skidmore College policies.
- Office work will consist of answering incoming calls, relaying messages, maintaining proper office supplies, general maintenance and repair of office equipment. Design and produce special signs and forms for the operation.
- Other record keeping duties will be required such as: tracking all accidents that occur within the department, hours used for Approved Family Medical Leave, attendance and meal tickets.
- Must have knowledge of the collective bargaining agreement to ensure proper policies are followed.
- Update content on digital signage boards for all locations daily.
Qualifications:
Education: Associate’s degree or equivalent, four-year degree preferred
Experience: 2-4 years of experience in office related work required which must include one year of payroll and record keeping. College/University experience preferred.

Pay range: $24.25 - $27.00
