JOB INFORMATION

Provides project management responsibilities and administrative support to maintain an effective workflow for the Student Engagement, Leadership & Belonging Dept., Student Life Office, and Intercultural/international Programs. Provides information to staff, students, and the general public. Reports directly to the Director of Student Engagement, Leadership and Belonging. Responsible for independently performing office administration activities involving complex and technical work in assigned areas of responsibility. Conducts research to resolve operational issues and serves as a technical expert responsible for training and supporting other department employees. Makes and/or recommends methods to accomplish work. Works in a dynamic intercultural environment to support students, staff and community customers.

DUTIES & RESPONSIBILITIES

Office management & Customer Service

  • Applies continuous improvement and workplace organizational practices in a team environment to provide effective, high-quality services to both internal and external customers

  • Serves to support the general department information and office management including clubs information, free speech process, food pantry requests, student ID's and maintenance of college news flyers in Salem Campus restrooms

  • Works with coworkers to support the hiring, training, and supervision of student workers that provide primary coverage of customer services window's/counters

  • Serves as technical resource to employees, partner agencies, students and the community regarding department information, policies, procedures, and processes, which may include: providing general customer service; researching and responding to inquiries; and providing information regarding college policies and procedures; may include situations of a confidential nature

  • Collaborates with all campus departments and outreach campuses using problem solving and decision-making skills to maintain effective and efficient work flow and quality working relationships; serves as liaison with students for the Director on a wide range of student inquiries and other issues and makes decisions based on Director's direction to assist and advise students

  • Assists employees, students, and other interested parties in completing applicable records and information

  • Provides customer service, appropriate college and department information, front counter help; interacts with students, other departments, businesses, agencies, outreach campuses, and the general public on the phone and in person; makes referrals as appropriate

Administrative Project Management

  • Manages tuition waivers, tuition talent grants, and student employment funding sources processes, including workers compensation hours for Student Engagement, Leadership and Belonging, Student Life, International/Intercultural Programs, and Peer Language Conversants. Student Leaders vary from 50-150 students per academic year. Serves as a liaison for these students and supervisors, with Business Services, Financial aid, and Human Resources staff

  • Manages, trains, and supervises student leaders and staff in using the digital ID system to assist students in creating their own digital ID. Maintains digital ID records and troubleshoots technical issues in collaboration with IT and the vendors/Atrium representatives

  • Manages and prioritizes tasks and projects with staff and students

  • Maintains third party software accounts for department

  • Assists and processes international insurance and Glacier Tax Prep for international/Intercultural Programs

  • Works with the director and coordinators' programs to organize and coordinate student, staff, and community events and activities

  • Assists with reports and projects

  • Assists with developing and implementing new processes, procedures, and documents for projects

Data Management, File Management, & Reporting

  • Develops, maintains, receives, processes, confidential records, files, and databases requiring classification and compilation of varied information (i.e., department files, confidential files, budgets, reports, personnel, including sick and vacation records, and curriculum) and tracking systems for Student Life, International/ Intercultural Programs, and Study Abroad

  • Coordinates the collection of data from multiple sources; compiles special reports or studies where analysis or technical data is required; reviews and verifies data for completeness and accuracy (i.e.: Payroll Authorizations (PA's), Full-time Enrollment (FTE) reports, full-time and part-time workloads)

  • Develops and maintains recordkeeping, filing, and tracking systems for the department and its programs and processes, including student hiring documents

  • Tracks student hired monthly payroll reports and problem solves payroll issues, monitoring hours of work for students

  • Input the course schedule in Banner for the department and its programs. Distributes schedule proofs to program directors and makes changes in the system. Complete course cancellations/terminations and associated paperwork for notifications and part-time contracts part-time. Produces addendums and new contracts

  • Assists the Director in making decisions on class cancellations based on enrollment and attendance numbers

  • Coordinates department ordering of supplies, department requisitions forms for directors signature

  • Maintains P-Card reconciliations, student and staff timesheet tracking department and its programs

  • Generates billings/invoices, check requests, and agreements for performance/presentation services

  • Organizes & tracks fiscal items & budget information for use in analysis & reporting

  • Supports identification of trends, gaps and opportunities to support improved fiscal outcomes and resource management

Administrative Support

  • Uses Banner and Slate to support work of the department related to recruitment, orientation, retention and recognition (RORR) goals as appropriate. This includes work with gen population, international students and student leadership development related cohort(s)

  • Retrieves information from Banner system to track student employees/volunteers' grades and GPAs for student leadership groups reporting to the department, verifies students' class schedules, and accesses their accounts to process tuition waivers or exemptions. Student Leaders vary from 50 to 150 students per academic year

  • Serves as a liaison for Student Engagement, Leadership & Belonging projects through the Student Life Office with HR on issues of student hiring and processing of payroll

  • Supports all department-based Programs as needed on general office and project specific tasks

  • Serves as a backup supervisor for department-based Programs

  • Assists in budget preparation and maintenance for department programs and projects

  • Assist with trainings

  • Schedules, supervises, trains, and evaluates part-time/hourly staff and student employees/volunteers; develops, recommends and implements student employment opportunities, and training

  • Composes and prepares a variety of correspondence, operational manuals, course syllabi, outlines, exams, reports, graphs, forms, flyers, brochures, advertisements, newsletters, and/or other related documents

  • Assists in the preparation of agendas for department meetings including necessary support materials; tracks actions and outcomes of meetings to ensure that proper follow-up is completed and formal action is taken (e.g. curriculum changes)

  • Maintains and coordinates room schedules ensuring arrangements are made for meetings and activities. Schedule classes, rooms and events using Google calendars and 25 Live

  • Performs routine, financial activities, which may include: tracking student payments; tracking budget accounts; setting up job costing system; performing budget transfers; allocating charges to appropriate accounts; and preparing travel reimbursements, petty cash, and/or other related financial forms for assigned department; prepares for Director all key requests for signature

  • Provides support for special projects as directed; conducts research and gathers information related to specialized activities and information in assigned area of responsibility

  • Maintains appointment calendar for Director using Google Calendar; organizes and maintains information, manages/coordinates schedules and calendars, and communicates on and off campus, answers phones, correspondence to e-mail

  • Arranges department, task force and other meetings; takes, transcribes, and distributes minutes

  • May participate in college-wide committees for programs

  • Inputs IT Help Center Requests for repair and maintenance on student computers, printers, etc. for our programs

  • Inputs Asset Essential requests for event set ups, break downs and maintenance issues in the surrounding areas

  • Assists new and continuing part-time instructors on policies, procedures, software, and/or other items in assigned area of responsibility; conducts office orientations for new adjunct faculty

  • Maintains and orders classroom instructional materials, supplies, equipment, and/or inventories; may receive merchandise and verify orders against purchase orders and procurement card

Minimum Qualifications:

This level requires an equivalency of six (6) years of full-time work experience that reflects the knowledge, skills and experience to perform the essential functions listed above.

This is typically achieved through a Bachelor's Degree and two (2) years of full-time work experience which reflects the knowledge, skills and experience to perform the essential functions listed above.

Education equivalency will not apply to one (1) year of the full-time work experience.

Preferred Qualifications:

  • Experience working with federal regulatory compliance in international student &/or immigrant sectors

  • Administrative support experience which includes using various software (spreadsheets, google suite, and data management tools) and working in a fast-paced intercultural office environment

  • Experience using Microsoft Office Suite & Google suite

  • Office coordination experience

  • Knowledge of data management Software (Banner, SLATE, Navigate etc.)

  • Experience with budget and fiscal records management (payments, reimbursements, tracking and reporting)

  • Experience creating and using computer spreadsheets, social media & document creation tools (eg. Publisher, Canva, etc.)

  • Experience working in an intercultural setting

  • Experience working with intercultural/international populations (inside an educational setting and/or in the community)

TERMS OF EMPLOYMENT

  • This is a 100%, 12-month classified assignment at pay level 14.
  • This position has a 6-month probationary period
  • All positions at Chemeketa are required to be available for work onsite as requested by the college.
  • Requires flexible work schedule to meet program needs, which may include evenings and/or weekends
  • This position may require the use of your personal vehicle for transportation between campus locations
  • If requested, requires the provision of official transcripts upon hire

PHYSICAL REQUIREMENTS

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary requirements are met.
