Student Life Operations and Analytics Coordinator

GENERAL RESPONSIBILITIES:
The Student Life Operations & Analytics Manager is a 12-month position responsible for supporting the operational effectiveness, assessment initiatives, compliance processes, reporting functions, and strategic projects of the Department of Student Life. This position utilizes data-informed practices to evaluate programs and services, support departmental decision-making, improve operational efficiency, and advance institutional priorities.
The position is responsible for collecting, analyzing, and reporting data related to Student Life programs and initiatives; supporting assessment and program evaluation efforts; monitoring compliance-related activities; maintaining departmental reporting systems; assisting with budget and procurement processes; coordinating special projects; and supporting student educational intervention tracking related to drug testing requirements. The position collaborates with university departments, campus partners, and community organizations to support student engagement, well-being, and institutional effectiveness while advancing the mission of the University.
SPECIFIC TASKS AND DUTIES:
- Understand, support, and abide by WBU's mission, policies, and regulations.
- Work actively toward accomplishing the University Strategic Plan and serve on campus-wide committees as assigned.
- Collect, maintain, analyze, and report data related to Student Life programs, services, initiatives, and student engagement efforts.
- Develop and maintain dashboards, reports, performance metrics, databases, and tracking systems to support departmental operations and decision-making.
- Design, administer, and analyze surveys, assessments, and evaluation tools to measure participation, engagement, and program outcomes.
- Conduct program assessments and prepare recommendations for continuous improvement based on findings and identified trends.
- Monitor program goals, objectives, outcomes, and performance measures for Student Life initiatives.
- Prepare executive summaries, reports, presentations, and supporting documentation for university leadership and stakeholders.
- Support institutional assessment, accreditation, strategic planning, grant reporting, and reporting efforts through data collection, analysis, and documentation.
- Collaborate with campus departments and community partners to support student-focused programs, educational initiatives, and engagement opportunities.
- Support implementation and evaluation of campus-wide educational, prevention, wellness, and engagement initiatives.
- Coordinate special projects and cross-functional initiatives involving multiple campus departments.
- Identify opportunities for process improvement and operational efficiency within Student Life.
- Process departmental requisitions, purchase requests, procurement documentation, and vendor-related records.
- Monitor departmental expenditures and assist with budget tracking and financial reporting activities.
- Supervise and train assigned student workers.
- Maintain confidential records and documentation related to student drug testing compliance requirements.
- Monitor completion of required educational interventions for students who fail a drug test.
- Track completion rates, timelines, follow-up requirements, and repeat cases.
- Identify trends and risk patterns through ongoing review of participation and compliance data.
- Prepare reports, dashboards, and statistical summaries related to compliance activities for Athletics and university leadership.
- Assist with policy implementation, procedural updates, and documentation related to student compliance initiatives.
- Remain competent, knowledgeable, and current regarding industry standards, assessment practices, student engagement strategies, and higher education trends.
- Cultivate positive relationships with students, faculty, staff, community partners, and external stakeholders.
EDUCATION:
Bachelor's degree in Business Analytics, Business Administration, Management, Higher Education Administration, Public Administration, Data Analytics, or a related field required. Years of relevant experience may be considered as substitution for degree requirements.
Master's degree in Business Analytics, Business Administration, Higher Education Administration, Management, Public Administration, or a related field preferred.
EXPERIENCE, KNOWLEDGE AND SKILLS:
- Experience in higher education, student affairs, student life, program administration, assessment, analytics, compliance, project management, or related areas.
- Experience developing, implementing, assessing, and reporting on student-focused programs and initiatives within a higher education environment preferred.
- Experience collecting, analyzing, interpreting, and presenting quantitative and qualitative data.
- Experience developing surveys, assessments, dashboards, reports, performance metrics, and evaluation tools.
- Experience supporting grant-funded initiatives, compliance-related activities, institutional reporting, or program evaluation efforts preferred.
- Experience coordinating campus-wide educational, engagement, prevention, wellness, or student development initiatives preferred.
- Experience collaborating with campus departments, community partners, and external stakeholders.
- Ability to analyze data and communicate findings in a clear and meaningful manner.
- Ability to gather information, compile reports, monitor trends, and prepare recommendations based on assessment findings.
- Ability to manage multiple projects, priorities, deadlines, and reporting requirements simultaneously.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written, verbal, interpersonal, and presentation skills.
- Proficiency with Microsoft Office applications, spreadsheet analysis, database management, survey platforms, and reporting systems.
- Ability to maintain confidential records and sensitive information.
- Ability to work independently while contributing effectively within a collaborative team environment.
- Knowledge of assessment practices, continuous improvement methodologies, and higher education operational processes preferred.
CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).
Employee must be able and willing to travel as required. Must be able to operate a licensed motor vehicle and possess a valid state driver's license or have access to reliable transportation.
