Position Summary

The Student Services Coordinator is the campus manager for all student academic records and is responsible for ensuring the success of our students by graduating and achieving their employment goals. The SSC follows standard University policies and procedures to ensure the accuracy and integrity of student records and is responsible for receiving, imaging and/or entering student records information. We pride ourselves on our students' outcomes and you will play an integral role in their journey at ECPI University.

Responsibilities

  • Ensure that all official student records are received and imaged, to include: official Proof of Graduation (POG), postsecondary transcripts, and official University documents as required per University policy
  • Use appropriate documentation consistently for all student record changes and ensure the records are complete, accurate, and processed within the required timeframes
  • Provide official and unofficial student transcripts within the established timelines as requested by the student.
  • Ensure data integrity within the Universitys Anthology student data management system
  • Conduct audits of the student database to ensure the accuracy of the student record. The Student Records Coordinator is responsible for ensuring the validity of student graduation dates, final grades, and student status changes
  • Uphold student educational privacy as stated in the Family Educational Rights and Privacy Act (FERPA) and University policy. Responsible for ensuring all student education record requests adhere to these policies.
  • Manage the campus transfer credit process. Responsible for receiving official post-secondary transcripts, routing to the Transfer Evaluation Center, and communicating the results to the student and staff in a timely manner
  • Review official Proof of Graduation documents to ensure that University admissions requirements are met.
  • Generate key reports and provide data analysis to Campus Administration, assist in local academic planning, enrollment management, scheduling, and other areas as needed
  • Monitor students' academic progress and ensure all required documentation is collected and uploaded in the student record. Organize and disseminate this information to campus Academic Officials to assist in the student advising process
  • Work with local academic leadership to ensure students have met their program graduation requirements and, according to established graduation eligibility, ensure all graduates are processed expeditiously
  • Create an ongoing trusted relationship with students
  • Actively initiate and continue ongoing guidance to students who are at risk of dropping due to academic or personal issues
  • Proactively outreach and reflexively intervene with students using a variety of resources and communication tools
  • Track student persistence and progression
  • Consult with students who have expressed an interest in withdrawing or have withdrawn
  • Document student interactions while upholding compliance with all policies and procedures

Qualifications

  • Bachelor's degree preferred
  • 2-3 years of related experience
  • Any equivalent combination of education, experience, and/or training

  • Ability to create new relationships and build trust with your students
  • Well-developed oral, written, telephone, and digital communication skills
  • Able to keep multiple tasks organized in a fast paced work environment
  • Ability to analyze, review, and comprehend data
  • Desire to help others achieve their goals
  • Excellent customer service skills
  • Technical skills and experience with Microsoft Office and a database management software
