Job Description:

Madison College is seeking a Student Services Coordinator to join our collaborative, supportive, people-first team. This position provides frontline support to adult education students as they navigate college and career opportunities, serving as the first point of contact and a central resource for career navigation, post-secondary credential exploration, the foreign credential evaluation process and support service referrals. Success in this role involves fostering a welcoming environment, accurately assessing student needs and facilitating timely access to appropriate resources and services. This position contributes to institutional objectives by enhancing the student experience, promoting equitable access and supporting the effective delivery of student services.

 

The School of Academic Advancement provides Adult Education opportunities for adult learners in our community through High School Completion (GED/HSED), English as a Second Language (ESL), Development Education/College Readiness and Integrated Education and Training (IET) programming.

 

We are looking for someone who brings a student-centered mindset, strong communication, problem-solving, and customer service skills, along with a collaborative approach to their work. In this role, you will partner with School of Academic Advancement faculty/staff, as well as cross-functional teams across Enrollment Services, Academic Advising, Career and Employment Services, Disability Services, Financial Aid, and other areas, gaining broad exposure to campus resources while playing a key role in improving student access, engagement, and success.

 

Position Details:

• Schedule: This is a full-time position, 40 hours per week, 52 weeks out of the year, with core hours Monday through Friday, 8:00 AM – 4:30 PM, with occasional evenings or weekend hours depending on school-related events.
• Benefits: Madison College offers an excellent benefits package including vacation, holidays, health, vision, dental and life insurance, and participation in the Wisconsin Retirement System (WRS).
• Grant-Funded Position: This position is funded through an annual grant. The current funding period extends through June 30, 2027, with funding anticipated to be renewed annually.
• Location: This position is located at our Goodman South branch campus. Limited travel to other branch campuses is expected.

Accountabilities:

• Serve as a primary point of contact for adult education students, including GED/HSED, English as a Second Language (ESL), and developmental education learners, providing timely assistance and connecting students with appropriate college services, resources and supports.
• Conduct student intake and onboarding by assisting with account creation, placement testing guidance, appointment scheduling and program exploration, while identifying students’ educational and career goals to support individualized next steps.
• Support adult learners in exploring career pathways by providing information about careers, occupations, and training opportunities, as well as connecting students with career exploration tools, advising resources and appropriate college programs.
• Assist with enrollment for high school completion, basic education and English language learning programs by reviewing student records and helping determine course needs to support appropriate placement.
• Provide individualized guidance and referrals to help students identify appropriate next steps based on their education background, career interests, academic readiness, personal circumstances, and postsecondary goals, including connections to academic advising, career services, financial aid, student support services and community resources.
• Administer standardized assessments, maintains accurate student records and data entry while following established testing procedures and protocols that support compliance with grant and state requirements.
• Coordinate and supports outreach events, orientations, career exploration workshops, and other student engagement activities,  including appointment tracking and student communications and contact lists to enhance engagement and student retention.
•  Maintain effective communication and collaboration with college departments, community partners, employers and workforce development resources to help adult learners access education, training and career pathway opportunities.
• Contribute to an inclusive, equitable and supportive environment where everyone at the institution feels valued, respected and empowered to reach their full potential.

Knowledge, Skills & Abilities:

• Knowledge of, or ability to quickly learn, enrollment processes, testing procedures and student support services.
• Skill in triaging student needs and coordinating referrals to academic, financial and personal support services.
• Ability to work independently with general supervision.
• Ability to provide customer service and resolve concerns.
• Ability to manage multiple processes, meet deadlines and maintain accuracy in a fast-paced environment.
• Skill in engaging positively with all populations and communities, contributing to a safe and inclusive learning and work environment.
• Skill in effectively and respectfully communicating with others.
• Ability to travel several times per year to other branch campuses.

Minimum Requirements:

• Associate’s Degree or equivalent work experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position
• 1 + years of relevant work experience
• Bilingual skills are preferred but not required
