Black Hills State University is seeking applicants to fill a Student Services Coordinator.

General Summary:

Black Hills State University (BHSU) seeks a dynamic, student-focused professional to serve as the Student Services Coordinator at the BHSU-Rapid City campus.

Reporting to the Vice President for Continuing Education & Workforce Development, this position serves as the primary front-facing representative of the university and plays a central role in recruitment, admissions, and enrollment services. The coordinator leads the student journey from initial inquiry through registration and transition to academic advising, ensuring a seamless and student-centered experience.

This role is responsible for developing and executing strategic recruitment and outreach initiatives to support a broad range of student populations, including first-time/full-time students, adult learners, transfer students, and military-affiliated students (active duty, guardsmen, and veterans).

The Student Services Coordinator also serves as the primary coordinator for BHSU-Rapid City events, leading the planning and execution of campus visits, preview days, recruitment events, and New Student Registration experiences.

This position requires a highly motivated, self-directed professional who exercises independent judgment, thrives in a fast-paced environment, and is passionate about helping students succeed.

Duties and Responsibilities:

Recruitment & Enrollment Growth

  • Lead strategic recruitment efforts to support enrollment growth across multiple student populations
  • Develop partnerships with regional high schools, community colleges, workforce partners, and community organizations
  • Coordinate and represent BHSU at recruitment events, community engagement activities, and outreach initiatives
  • Develop targeted communication strategies and engagement plans to attract prospective students
  • Analyze recruitment data and trends to inform strategy and improve outcomes

Admissions & Enrollment Operations

  • Review and evaluate admissions applications and supporting documentation
  • Make informed admissions-related decisions in alignment with university policies
  • Coordinate application processing workflows and ensure timely progression from application to admission
  • Maintain accuracy and integrity of student data within institutional systems
  • Resolve enrollment barriers using sound judgment and problem-solving

Student Engagement & Enrollment Navigation

  • Serve as the primary point of contact for prospective and incoming students (in-person, phone, and events)
  • Lead students through the enrollment process from inquiry through registration
  • Facilitate course registration when appropriate, including during peak periods and events
  • Direct students to appropriate campus resources, ensuring smooth transitions to advising and other services
  • Monitor student progression and intervene proactively to support completion of enrollment steps

Financial Aid & Academic Pathway Support

  • Provide front-line guidance on financial aid processes, including FAFSA completion
  • Deliver general academic pathway information aligned with university programs
  • Coordinate referrals to financial aid and advising specialists as needed
  • Maintain working knowledge of financial aid processes, timelines, and requirements

Student Services Coordination

  • Lead coordination of student services across admissions, advising, and financial aid within the Rapid City location
  • Facilitate regular team meetings and support cross-functional collaboration
  • Coordinate service coverage, workflow alignment, and cross-training efforts
  • Identify service gaps and implement improvements to enhance the student experience
  • Strong ability to work independently and exercise sound judgment
  • Excellent communication, presentation, and interpersonal skills
  • Demonstrated ability to manage multiple priorities in a fast-paced environment

  • Ability to learn and apply complex policies and processes

Events Coordination & Campus Experience

  • Lead planning, coordination, and execution of BHSU-Rapid City events, including:

  • Preview Days

  • Campus visits and student tours

  • Local recruitment events

  • New Student Registration experiences

  • Coordinate event logistics, communication, staffing, and materials

  • Develop engaging, student-centered experiences that support recruitment and enrollment goals

  • Evaluate event effectiveness and implement continuous improvements

Communications & Social Media Engagement

  • Coordinate and contribute to social media strategy for the Rapid City campus, including platforms such as Facebook and ZeeMee
  • Develop and maintain engaging digital content aligned with institutional branding
  • Support outreach campaigns through effective communication strategies and messaging

Requirements

  • Bachelor's degree required
  • One to three years of progressively responsible experience in admissions, student services, advising, enrollment management, or a related field
  • Valid driver's license required
  • Ability to travel and work occasional evenings and weekends

Preferred Qualifications

  • Experience working with diverse student populations, including traditional-aged, adult, transfer, and military-affiliated students
  • Experience in higher education recruitment, admissions, or student services
  • Familiarity with student information systems such as Banner, DegreeWorks, or similar platforms
  • Experience coordinating events or programs
  • Demonstrated ability to build strong partnerships with community organizations and stakeholders
