Advertised Job Summary

This position plans, coordinates, and performs complex administrative and technical activities for the Office of Academic Affairs in the College of Engineering and Computing. Responsibilities include accuracy of academic program information, degree audit implementation, advising support, and data management.

Job Related Minimum Required Education and Experience

  • Requires a bachelor's degree in a job related field and 5 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications Knowledge/Skills/Abilities

  • Detail-oriented and able to handle multiple concurrent tasks and frequent interruptions.
  • Excellent oral and written communication skills.
  • Confident as well as conscientious and personable.

Job Duties

Job Duty

Supervise, hire, train and evaluate staff responsible for student services front office duties, graduation and records management. Uses appropriate management principles according to University and College policy and procedures, completes EPMS planning and reviews timely and accurately. Communicates expectations and provides feedback to assist employees with performance improvement, professional development, and skill/ competency development.

Essential Function Yes Percentage of Time 10 Job Duty

Manages the daily functions of the front office for staffing and provides oversight for smooth customer service experience. Train front office staff for consistent messaging and support. Regularly reviews and updates processes as needed. Manage and provide oversight for processes impacting student course registration and documentation. Provides oversight of pre-requisite waivers and overrides for eligibility.

Essential Function Yes Percentage of Time 20 Job Duty

Develops and implements administrative policies and procedures for consistent degree completion and conferral for undergraduate students in the MCEC. Creates and maintains the on-going monitoring of student's degree progress to allow time to take corrective measures to minimize delays in graduation. Designs and implements college-wide processes for college progression rules & senior check processes. Provide overall graduation support and implement processes for graduation candidacy & conferrals. Serve as liaison to the registrar for DegreeWorks coding issues. Responsible for providing verification letters of degree progress including, but not limited to NCAA-athletic certifications, SAP letters, Veteran's Affairs letters and international sponsorship/visa verifications.

Develops and implements administrative policies and procedures for the consistent processing of records and Registrar transactions. Coordinates with the Assistant Dean on matters related to the processing and documentation of exceptions to academic requirements. Processes DegreeWorks transactions to ensure degree requirement exceptions are complete and accurate, representing documentation of approvals. Oversight of all internal records management in alignment with all relevant accreditation bodies. Develop and implement internal processes for the consistent documentation of all student records for both advisement and graduation records. Assists with student file management needs during accreditation visits or reviews. Manages the documentation and support for college and department petitions, to ensure approvals are not conflicting with accreditation requirements.
