Examples Of Duties

SUMMARY

This position provides day-to-day support for student system and enrollment activities across the district. This position assists schools, families, and district teams by updating and maintaining accurate student and parent information, supporting access to family tools, and responding to common questions. The position works closely with Enrollment Services and Student Information Systems teams to ensure smooth operations and quality customer service.

ESSENTIAL JOB FUNCTIONS

  1. Reviews and combines duplicate student and parent records to help keep information accurate and up to date.

  2. Assists parents and guardians with accessing ParentVUE by answering questions, resetting access, and guiding them through the process.

  3. Assists with submitting new students for assignment of state student identification numbers following established procedures.

  4. Updates written guides, job aids, and training materials to ensure they are clear, current, and easy for staff to use.

  5. Provides front-line assistance to school and district staff by answering common questions, including how to find reports, navigate the system, or access ParentVUE.

  6. Assists with transcript entry for comprehensive high schools to support accurate student records.

  7. Supports enrollment processing for the Enrollment Services team and comprehensive high schools, as assigned by the Director.

  8. Supports comprehensive high schools with enrollment, scheduling, and course history processes, as assigned by the Director.

  9. Performs other related duties as assigned to support district and school operations.

OTHER JOB DUTIES

  1. Maintains and updates knowledge and skills required for success in the position by participating in professional development activities as needed or as assigned.

  2. Maintains high level of professionalism in all communication while providing excellent customer service.

  3. Performs special projects and related duties as assigned, on a temporary basis.

  4. Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.

CONDITIONS

Office environment; experiences frequent interruptions; experiences prolonged visual concentration and exposure to video display; may be required to work with difficult and sensitive situations and/or people; confined to the work-station for prolonged periods; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.

Minimum Qualifications

MINIMUM QUALIFICATIONS

Education and Experience

High school graduation or equivalent; experience working with student information systems; experience performing office, clerical, or administrative support duties, including working with records, data entry, and customer service; work experience with a school district in a confidential role preferred; human resources experience preferred; or any combination of experience and training that provides the applicant with the knowledge, skills, and abilities required to perform the work.

Licenses/Special Requirements

Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

Allowable Substitution

Equivalent combinations of education and experience will be evaluated by the Human Resources Department for comparability.

Knowledge, Skills and Abilities

Knowledge of human resources/employment practices and collective bargaining agreements.

Knowledge of the District's policies and procedures.

Knowledge of general secretarial procedures and practices.

Knowledge of correct spelling, grammar, punctuation, and English usage to prepare professional correspondence.

Knowledge of computers and related software applications, including word processing, spreadsheets, databases, and web-based systems.

Skill in obtaining, clarifying and exchanging information.

Skill in providing courteous customer service to students, families, school staff, and district personnel.

Skill in effective problem solving and decision making.

Ability to interpret collective bargaining agreements.

Ability to work independently without direct supervision.

Ability to operate a personal computer with spreadsheet software.

Ability to maintain confidentiality and handle sensitive information in accordance with district policies and procedures.

Ability to accurately perform arithmetical calculations.

Ability to maintain accurate records and perform detailed data entry with a high degree of accuracy.
