Job Summary/Basic Function
The Office of University Events (UE) provides year-round coordination of special events within the Division of Advancement. UE is looking for student workers to work year-round events including indoor and outdoor activities.
Special Events Staff work under the Director of University Events, assuming the role of facility support and set up, welcoming guests, customer service, problem solving, and general event logistics.
Required Qualifications
- Exceptional Customer service skills.
- Outstanding organizational skills with strict attention to detail.
- Strong inter-personal, verbal and written communication skills.
- Ability to work in diverse, flexible, fast-paced and dynamic environments.
- Ability to work with guests of all ages from small children to senior citizens.
- Availability to work evenings and weekends.
- Good problem-solving skills as it relates to last minute event plan changes or conflict resolution with client or campus partner.
- Willingness to perform various duties as assigned by the manager on duty.
Preferred Qualifications
- Previous experience working in event management, venue management, and/or customer service.
- Ability to participate in the physical nature of the event: standing or sitting for long periods of time, lifting items, walking or guiding capabilities.
- Vehicle access to get to shifts at various venues on campus or in the community.
Job Duties
Task may included but are not limited to:
- Greet and assist guests, clients, and University department faculty and staff at events coordinated by UE.
- Assist with management of event logistics, including but not limited to guest/client arrivals, concierge services, and facility management duties.
- Assist with office administrative support logistics such as invitations, guests lists, event plans, room layouts/diagrams, communication plans to campus partners, scheduling, billing, packaging, and preparing for current and upcoming events and activities.
- Work with MU campus departments and office sponsoring, hosting, and/or coordinating event including but not limited to Athletics, University Dining & Catering Services, University Housing & Conference Services, Facilities/Maintenance Operations, Groundskeeping, Housekeeping, and University Police, academic offices/departments, and other University offices/departments as necessary to run a successful and safe event.
- Assisting with coordination of safety and security protocols for indoor and outdoor events as it relates to inclement weather and last minute facility adjustments.
- Maintain a valuable and helpful representation of Millersville University through exceptional customer service. Other duties as assigned
Working Conditions and Physical Effort
- Ability to participate in the physical nature of the event: standing or sitting for long periods of time, lifting items, walking or guiding capabilities.
- Ability to work outdoors in all climate conditions.
