Job Summary

The Science Learning Center (SLC) helps undergraduate students succeed in introductory science and math through peer-led study groups and tutoring. As the Study Group Administrative Assistant, you keep a large, student-staffed program running week to week: administering hiring and payroll for student facilitators, interpreting program policy for student staff, managing registration and scheduling data, maintaining financial records, and turning program data into the reports the team uses to make decisions.

This is one of eight full-time staff positions at the SLC. The SLC supports more than 20,000 student enrollments each year across 20+ introductory STEM courses. In the Study Group Program specifically, you will support over 200 student facilitators leading about 450 weekly study groups across 18 courses, serving 4,500 student members each year.

What You'll Do

• Administer the full employment cycle for the program's 200+ student temporary employees, including coordinating recruitment, processing applications, scheduling interviews, hiring, payroll, and end-of-appointment steps.
• Serve as the primary point of contact for the Study Group Program: interpret and apply program policy for student staff, and respond to questions from students, faculty, and people outside the university.
• Maintain the accuracy and integrity of the program's spreadsheets and databases, monitoring registration, updating records, and processing requests using Google Workspace, Microsoft Excel, and UMStudy (built on the TEDU platform).
• Reconcile electronic attendance and timesheets against activity logs, resolving discrepancies, and track study group attendance and facilitator preparation and training time.
• Submit room requests and maintain the schedule for approximately 450 weekly study group sessions across 18 courses.
• Maintain financial records and produce budget and expense reports; compile budget trends and prepare projections, graphs, and charts.
• Interpret course enrollment and participation data and present it in spreadsheets, graphs, and summaries that staff use to make program decisions.
• Coordinate the program's evaluation surveys, including administration, initial analysis of 500+ individual survey results per term, and term and annual summary reports.
• Build facilitator schedules and create study groups within the registration system.
• Create and update publicity and training materials, including website content.
• Plan and lead administrative training sessions for new student employees, and direct and review the administrative work of student staff assigned to the program.
• Work with staff in partner programs and units, and collaborate on special projects.

Required Qualifications*

• An Associate's degree, or an equivalent combination of education and experience.
• Two or more years of administrative support experience, including budget or financial recordkeeping and data reporting.
• Ability to work under general supervision, exercising independent judgment on non-routine questions and escalating exceptions appropriately.
• Strong interpersonal skills and the ability to work well with students, staff, and faculty from a wide range of backgrounds.
• Strong organizational, written, and verbal communication skills, with attention to accuracy.
• Ability to take initiative and contribute as a team member.
• Ability to set priorities and manage multiple tasks and competing deadlines.
• Discretion in handling sensitive and confidential information.
• Proficiency with Microsoft Office and Google Workspace, including strong spreadsheet skills in Excel and Google Sheets.

Desired Qualifications*

• A Bachelor's degree, or an equivalent combination of education and experience.
• Three or more years of progressively responsible administrative support experience.
• Experience using a database or a registration/scheduling system.
• Experience supporting student employees or a student-staffed program.
• Knowledge of University of Michigan and LSA administrative and financial processes.
