The Subpoena Coordinator is responsible for managing and coordinating the company's response to subpoenas, court orders, and other legal requests. This role requires a highly organized, detail-oriented professional who can effectively evaluate legal requests, coordinate responses across business units, maintain accurate records, and ensure compliance with applicable legal requirements and company policies. The successful candidate will serve as a key liaison between internal stakeholders, outside counsel, and requesting parties to facilitate timely and accurate responses.

Essential Duties and Responsibilities
- Receive, review, and manage subpoenas and other legal requests on behalf of the organization.
- Evaluate legal requests to determine scope, validity, and response requirements.
- Identify potential objections, deficiencies, or concerns associated with subpoena requests and escalate when appropriate.
- Monitor and track response deadlines through the Legal Management System to ensure timely compliance.
- Coordinate with Profit Centers and business units to collect responsive documents, records, and electronically stored information (ESI).
- Collaborate with legal counsel, internal stakeholders, and external attorneys regarding subpoena status and response requirements.
- Prepare, organize, and process responsive materials in accordance with company policies and legal standards.
- Maintain accurate electronic files, records, and calendars for all subpoena matters.
- Ensure all activities, communications, and deliverables are properly documented and completed within established deadlines.
- Prepare and issue invoices related to document production, data collection, and related costs.
- Continuously identify opportunities to improve processes, enhance efficiency, and support departmental objectives.
- Perform other duties and special projects as assigned.
Required Qualifications
- Associate's degree or equivalent combination of education and relevant work experience.
- Minimum of three (3) years of experience in a legal, litigation support, records management, compliance, or similar role.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational and time-management skills with the ability to manage multiple deadlines simultaneously.
- Professional telephone and customer service skills.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
Preferred Qualifications
- Bachelor's degree in Legal Studies, Business Administration, Paralegal Studies, Criminal Justice, or a related field.
- Experience handling subpoenas, legal process, records requests, or litigation support matters.
- Familiarity with legal case management, eDiscovery, or document management systems.
- Experience working within the insurance, financial services, or corporate legal environment.
