Position Summary: We are seeking a highly organized, detail-oriented, and reliable professional to serve as a Substitute Administrative Analyst for the Human Resources Department. This part-time, substitute role is designed to provide essential administrative and operational support to the HR team.
Please note: This is an administrative support position. It does not involve the development of district policy, labor relations strategy, or other executive-level permanent administrative functions.
Key Responsibilities:
Data Entry & Systems Management: Assist with accurate data entry, tracking, and maintenance of employee records within the district's Human Resources Information Systems (e.g., Frontline, Systems 3000, and/or Genesis).
Onboarding & Processing Support: Assist the HR team with the intake process for new hires, leave replacements, substitute teachers, and district volunteers. This includes processing intake paperwork, verifying fingerprinting/background check confirmations, and tracking mandatory training compliance.
Records Maintenance: Organize and maintain highly confidential personnel files, both physical and electronic, ensuring all documents are filed accurately and in compliance with district record-keeping standards.
Customer Service & Communication: Serve as a point of contact for routine HR inquiries from district staff and candidates. Provide prompt, professional, and courteous assistance via phone, email, and in person.
General Clerical Duties: Perform day-to-day administrative tasks including scanning, copying, filing, drafting routine correspondence, answering department phones, and helping prepare materials for HR orientations or mailings.
Team Support: Provide general operational assistance to the HR Manager, HR Specialists, and the Assistant Superintendent for Personnel as needed to ensure the smooth daily functioning of the Central Office.
Qualifications:
Education: High School Diploma or equivalent required. (Associate's or Bachelor's degree in Business Administration, Human Resources, or a related field is a plus).
Experience: Prior clerical, administrative, or customer service experience is preferred, but a strong desire to learn HR processes is key! Experience working within a public school district or municipal environment is a plus.
Technical Skills: Strong computer proficiency, including experience with Microsoft Office Suite, Google Workspace, and a strong aptitude for learning HR-specific databases.
Confidentiality: Must possess a high level of integrity and the proven ability to handle highly sensitive personnel and medical information with strict confidentiality.
Soft Skills: Excellent written and verbal communication skills, strong organizational habits, and the ability to multitask in a busy office setting.
