SUBSTITUTE SECRETARIES

JOB DESCRIPTION:

  • TOTAL COMPENSATION: Based on the service personnel pay scale.

  • QUALIFICATIONS:

  • High school diploma or equivalent

  • Must successfully pass state competency test for secretary.

  • Skilled in computer word processing and spreadsheets.

  • Ability to type with accuracy a minimum of 50 words per minute.

  • Skilled in WVEIS/WOW preferred.

  • Ability to pass a criminal background check.

  • IMMEDIATE SUPERVISOR: Principal

  • HOURS: Determined by the vacant position when a substitute is needed.

  • EMPLOYEE CLASSIFICATION: Secretary I

  • RESPONSIBILITIES: The secretary shall be responsible for:

  • Completing all reports and maintaining records as assigned by principal/or supervisor.

  • Maintaining positive work habits.

  • Performing duties efficiently and productively.

  • Maintaining and/or upgrading skills as needed to perform job responsibilities.

  • Maintaining and/or improving persona qualities.

  • PERFORMANCE STANDARDS: The following performance standards and indicators further define the job responsibilities of a secretary:

  • Work Habits:

  • Is regular in attendance.

  • Observes assigned work hours.

  • Prompt in meeting assignment deadlines.

  • Complies with Pendleton County School policies governing employment.

  • Regularly observes established safety procedures.

  • Regularly stores supplies/equipment in an orderly and safe manner.

  • Maintains a clean and orderly work area.

  • Promptly reports the need for equipment repair to supervisor.

  • Keeps supervisor(s) aware of scheduled appointments and meetings.

  • Performance:

  • Demonstrates a knowledge of board policies and administrative procedures as they relate to his/her assignment and that of the person that he/she is assigned.

  • Demonstrates the ability to plan and prioritize his/her daily activities.

  • Is thorough in completing assign tasks as demonstrated by attending to details accurately and efficiently.

  • Is efficient in receiving and routing communications.

  • Is economical in the use of school/county supplies.

  • Respects the confidentiality of student/school/office information.

  • Develops a positive relationship with students/parents/public.

  • Is effective in the management of financial matters; such as, budget allocations, recording expenditures, maintaining balance for each account, reconciliation of check statements, etc.

  • Demonstrates the ability to follow direction.

  • Performs assigned duties efficiently without close supervision.

  • Works cooperatively with other staff members.

  • Anticipates job responsibilities that need to be performed.

  • Training and Experience:

  • Demonstrates effective use of procedures related to secretarial duties.

  • Participates in job-related training programs.

  • Reads current articles related to job assignment.
