CLASSIFICATION TITLE: SUPERIOR COURT JUDICIAL SUPERVISOR
PURPOSE OF CLASSIFICATION
Provides technical support to the Superior Court Clerk's Office. Work involves supervising Deputy Court Clerks and Superior Court Judicial Courtroom Clerks in their assigned tasks as well as providing backup assistance. Backup duties include, but not limited to, execute roll call for jurors, records number of strikes taken by each attorney, and maintains a list of jurors selected.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Communicates with judges, judges' staff, jury clerk, jury manager and staff as necessary.
Dockets courtroom activity as needed for each case including, but not limited to, sentencing, probation revocations, and judgment continuances.
Performs imaging of every document filed in all cases assigned to a specific judge and verifies the accuracy of the images and docketing.
Assists the general public in person and over the phone; receive indexing and record court case information and/or legal documents; enter and update data into department databases; and provide copies of official court and/or legal documents to the public, courts, litigants, attorneys and other appropriate parties.
Prepares daily deposits and verifies each cashier's intake with a printed report. Resolves any monetary on a daily basis and require attention to detail and computer skills. Familiarity with the civil process is helpful in this task.
Transmits to the Georgia Crime Information Center (G.C.I.C.) criminal sentencing information and Offender Base Tracking System (O.B.T.S) conclusions. As any information shared with G.C.I.C. affects the criminal histories of citizens, this job mandates accuracy and a good working understanding of sentencing and dispositions.
Notifies the Department of Public Safety of those convictions which impact driving records. All of these transmittals and notifications must be done in a timely manner with no allowance for errors.
Reports to the Georgia Superior Court Clerks' Cooperative Authority (GSCCCA) all new civil case filings and dispositions. Proper, state-approved forms must be checked for completeness and correct information. Transmit Temporary Protective Orders to GSCCCA as required by law. These tasks must be completed within the time guidelines as set by the State. Requires computer and scanning knowledge and experience in order to perform the necessary duty as well as troubleshoot any issues that arise.
Prepares adoption index and correspondence which must be sent to the State Adoption Unit and investigation agencies. Types certificate of adoption for petitioner. Forwards appropriate paperwork to the State vital records department. This responsibility requires discreetness, promptness, and accuracy.
Assembles appeals for the Court Appeals or the Supreme Court. Assembling requires making photocopies of the entire file, preparing an index, numbering all pages, and verifying that all documents are included. Prepare an Invoice for the appellant. Scans and dockets the appeal on the computer. Keeps record of all appeals in the Appeal Book.
Formulates various correspondence pertaining to civil and criminal cases. Correspond with State agencies, attorneys, litigants, legal publications, and various prosecuting bureaus.
Assumes responsibility for training new employees and familiarizing them with office policies and procedures, techniques, applicable laws, proper and required forms, and various types of cases with the requirement for each. Train existing employees on new duties and responsibilities. Continually provides assistance with employees in dealing with difficult or unusual circumstances, customers requiring the presence of a supervisor, and with new employees during the learning period.
Provides supervision over employees and the tasks to which they are assigned. Frequently verify duties are completed in a timely and accurate manner and all courtrooms are provided with a clerk when necessary. Report to immediate supervisor any infractions or concerns that may be occurring. Participate in evaluations of employees as well as disciplinary actions.
Opens and date stamps mail and distributes to appropriate clerk.
Re-assign cases to judges when necessary in cases of judge recusals and pre-existing cases. Must follow protocol for re-assignments.
Takes responsibility for voiding receipts, case entries, and images when an error by a clerk is made. Must be thorough in verifying the need for the void and certifying that the transaction is rectified properly.
Proofreads work performed by employees in their charge. Verifies that new cases have been receipted, entered properly, and all images have been scanned and attached to the proper case. Examine filings and docketing to verify their accuracy.
Keeps control of office inventory and equipment. Orders supplies, and forms as needed. Calls for equipment service when necessary.
Prepares, proofreads, and signs certified and exemplified copies for customers.
Takes responsibility for the employees in their charge as well as the duties assigned to each. Delegate duties and tasks as needed.
Provides support in a clerk's absence by assuming their responsibilities which includes all files, documents, and other materials are available and organized prior to the beginning of each court session; will attend court as required by assigned judge and performs clerical duties within the courtroom as instructed by judge; assist with jury selection by escorting potential jurors to the courtroom, empaneling jurors, calling roll, recording number of strikes by all parties, and maintaining list of jurors selected and discharged from case; communicates on a frequent basis with the judge and judge's staff the need for additional jurors or special instructions and relays information to the jury clerk and jury manager; records courtroom activity involving jurors during the selection process and provides information to the jury manager; required to be present in the courtroom for probation revocations and to docket all information presented and prepare the sentence sheet for the judge's signature; required to be present in the courtroom for all sentencing on criminal cases and to docket all information presented and to prepare the sentence sheet for the judge's signature; and Courtroom attendance is a major function of this position and requires dependability, infrequent absences, and punctuality.
Responsible for imaging all documents filed in cases assigned to the judge to whom they assist. Imaging is a time-consuming task which is done once the clerk returns from the courtroom. Must be able to utilize scanning equipment and be familiar with the scanning process in order to perform and verify for accuracy.
Reviews Orders and other legal documents to ensure accuracy and compliance with the Court's Order and/or proceedings; maintains a tracking system of these documents as well as the entire case file. Prepares written correspondence when documents are not prepared or presented in the manner in which required by either local or state-wide statutes. Maintain current records on case status. Respond to inquiries and provides factual information regarding court proceedings to attorneys, court officials, County staff and the public. Mail out Court notices to all appropriate parties of upcoming calendars. Maintains accurate records and files and may prepare special reports related to work performed.
Per Judges' order, files are to be delivered to and retrieved from the Judges' offices four (4) times a day. Must be conscientious to prepare the deliveries and to complete the routes at the assigned times. A report is to be completed listing the number of documents, cases or court calendars delivered, and/or retrieved upon returning to the office. Acquire cases and documents for Judges, Judge's staff, and other County personnel as requested.
Prepares bond forfeitures to be mailed to the defendant and to the surety when necessary. Must be diligent in preparing and forwarding documents to the appropriate parties due to the timeliness of these documents.
Initiates orders for peremptory calendars; verify the cases' eligibility for participation in peremptory calendar; ensures that all appropriate parties are notified of calendar call; and dockets announcements and filings for peremptory cases.
Retrieves and reviews all cases scheduled on court calendars. Task involves checking case contents for accuracy; documents placed in chronological order and verify presence of all required documents. Cases are compared to the calendar to ensure completeness. Once the calendar is heard and the cases are returned by the judges, the cases are received as being returned and re-filed. Retrieve and re-file cases are a daily responsibility. Accuracy and attentiveness are imperative to completing these tasks without error.
Prepares affidavits for the Department of Corrections after criminal sentencing. Prepare sentence review application as well as transfers to other counties and departments when ordered by a Judge. Mail sentences to health departments for HIV testing when ordered by the Judge. Responsible for ensuring affidavits sentence, applications, and transfers are prepared completely, correctly, and are submitted in a timely manner.
Takes responsibility for maintaining attorney records and makes changes as necessary.
Works in conjunction with Magistrate Court in assigning case numbers for Temporary Protective Orders as well as checking for prior cases which involve the same parties. Task requires accuracy, thoroughness in checking records, and responding in an expedient manner.
Works with District Attorney's staff in assigning tracking numbers on upcoming probation revocation sentences; prepares cases for hearings; proofs documents for completeness; and attends court during hearings and prepares revocation orders.
Receives and date stamps court related and/or legal documents such as pleadings, motions; enters information into department databases; updates database information; creates new files and purges old data as appropriate. Makes copies and distributes to appropriate parties and maintains copies in department manual files.
For court case related responsibilities, assign case numbers; schedules/dockets arraignments, hearing dates, probation petitions, rulings ordinance citations, etc.; attends court; and files affidavits and issues legal documents.
Types letters, reports, summaries and correspondence. Prepares folders; maintains files of department correspondence, program records, legal documents, etc.; photocopies documents and distributes and/or files; and request information from other departments as necessary to complete department records/files.
Receives and dates incoming mail and prepare outgoing mail as necessary.
Contributes to the efficiency and effectiveness of the Clerk's Office service to its customers by offering suggestions and participating as an active member of a work team.
ADDITIONAL FUNCTIONS
Performs other related duties as required.
MINIMUM QUALIFICATIONS
High school diploma or GED; supplemented by one (1) year of clerical and/or customer service experience; or any equivalent combination of education, training, and experience. Supervisory experience preferred, but not required.

Physical Ability: Tasks require the ability to exert moderate physical effort in light to moderate work, typically involving some combination of stooping, kneeling, crouching and prolonged standing, and which may involve some lifting, carrying, pushing and/or puling of objects and materials of moderate weight (12-20 pounds) and occasionally heavy weight (20-50 pounds). Tasks may involve extended periods of time at a keyboard or work station.
Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors: Under normal conditions essential functions are usually performed without exposure to adverse environmental conditions.
