Position Purpose:

Responsible for the effective supervision of personnel of the USC Administrative Support Team. Provide effective supervision of local resources as required, meeting the company's mission and goals. Ensure the efficient and effective delivery of services to external and internal customers. Collaborate with various stakeholders to ensure the effectiveness of business processes and practices. Ensure that all work activities and interactions reflect the highest standards of conduct, professionalism and confidentiality at all times.

Leadership & Supervision: Develop and maintain a high-performance workforce; acknowledge and reward the strengths and accomplishments of employees. Provide supervision of daily workflow to ensure timely and accurate delivery of service and information for both internal and external customers. Plan and organize the work of (3) administrative team members to ensure efficient and effective performance.

  • Plan and prioritize work for the Administrative Support Team, assigning schedules and monitoring daily activities. Monitor vacation time and requests to ensure proper coverage of all positions.
  • Lead, mentor, and develop team members to promote a high-performing, engaged workforce.
  • Recruit, hire, onboard, and train administrative staff.
  • Establish performance expectations, conduct performance evaluations, and provide ongoing coaching and feedback.
  • Assign and balance workloads to ensure efficient coverage and high-quality support across the organization.
  • Foster a collaborative, customer-focused culture that emphasizes accountability, teamwork, and continuous improvement.
  • Support employee development through training, cross-training, and succession planning.
  • Oversee the procurement of office supplies and equipment. Ensure all office equipment is maintained and operating properly.
  • Oversee processing of purchase orders, invoice processing, and bank card statements.
  • Provide coordination and oversight of company record management activities for corporate location adhering to company Records Management Policy.
  • Monitor catering and conference room activities assigned to Administrative Support Team to ensure customer requests are met.
  • Ensure employees comply with visitor and vendor company safety practices, procedures, and policies.
  • Ensure successful cross-boundary interface with other functional areas, including customer accounting, customer service, accounting, human resources, it, engineering and operations.

Operational Performance: Oversee the daily operations of Administrative Services, ensuring consistent, efficient, and professional support to business units and leadership. Ensure reliable and cost-effective support services to meet companies' missions and goals.

  • Identify and improve upon work practices and processes to maximize efficiencies and effectiveness of the department and other cross boundary functional areas.

  • Be accountable for Administrative Support Team performance including accuracy, quality of and timeliness of work.

  • Monitor workload, service levels, and key performance metrics to identify opportunities for improvement.

  • Ensure confidentiality, accuracy, and integrity of business records and sensitive information.

  • Maintain and administer policies and procedures for all Corporate Administrative activities as well as Operating Companies when requested.

  • Promote the effective use of technology and administrative tools to improve productivity and customer service.

Storm Assignment: Support operations during storm restoration efforts and other system emergencies as needed.

Qualifications:

  • Bachelor's degree in a business-related field.
  • Minimum of 5 or more years experience in Administative Services.
  • Two or more years of supervisory or team leadership experience.
  • Must possess strong communication, organizational and interpersonal skills.
  • Working knowledge of Administrative Services best practices.
  • Excellent Microsoft Office skills.
  • Must be available to work extended hours as assigned, possibly at secondary locations, in response to System emergencies.
