The incumbent supervises field and regional resource center (RRC) Associate staff. Assists regional manager with the effective operation of the region including management of regional properties. The incumbent works with minimal supervision in all job requirements, and must exercise a high level of independent judgment, initiative, and discretion in both the utilization and dissemination of sensitive and confidential information. Provides administrative assistance for the regional manager in confidential matters.
Duties and Responsibilities
Supervises and directs RRC field and other assigned regional Associate staff in the performance of their work.
Responsible for the hiring of field and RRC Associate staff.
Responsible for onboarding and training field and RRC Associate staff.
Provides consultation on various personnel matters, mediates internal disputes and counsels Associate staff.
Appropriately responds to employee grievances as required.
Monitors and approves purchase orders, check requisitions, work orders, supply requisitions, computer and print job requests.
Approves leave requests, overtime, compensatory time, remote workdays, and flex schedule requests for Associate staff.
Approves Associate staff expense reports if required by the accounting department.
Reviews and approves, as authorized, expenditures for the operation of field and regional offices; prepares the yearly, regional seasonalized budget; prepares the quarterly budget variance reports; monitors and reconciles monthly the region's annual budget.
Reviews facilities and evaluates equipment for the regional and field offices; makes recommendations on purchase of new equipment.; Prepares property needs report for the annual regional property meeting.
Assists Regional UniServ and Associate staff with office concerns including ergonomic needs and workstation set-up.
Acts as on-site property manager of regional office buildings.
Coordinates with RRC Associate staff property maintenance functions.
Conducts safety inspections, approves corrective measures or makes recommendations to CTA Property Management. .
Coordinates execution of regional resource center lease agreements with CTA Property Management Supervisor and regional management.
Coordinates new location and office layout design and upgrading of existing office space.
Oversees logistics and arrangements of numerous meetings in the Region.
Manages logistics for regional leadership conference including hotel contract/agreement, travels to different locations for site inspections of hotel properties; composes, produces and supervises distribution of information and handles finances.
Provides assistance to members and chapter leaders requesting Association services, benefits and programs, including processing GLS requests.
Participates in cross-department work groups.
Supports campaign planning and implementation.
Responds to inquiries and emergency situations in the absence of regional management
Responds to work related injuries. If appropriate, completes and submits Incident Investigation Report to Department of Human Resources Management.
Performs other duties assigned.
Qualifications - Minimum Required
Bachelor''''s Degree, or Associate's degree and two (2) years of relevant experience or five (5) years of relevant experience.
Demonstrated ability to effectively supervise and lead staff.
Experience in conference coordination and program management.
of CTA structure, policies and procedures.
Proficiency of CTA membership system and ability to efficiently deal with membership issues.
Proficiency in the use of computer technology, and ability to learn and use the Association's software programs, including strong understanding of, and comfortable using, teamwork platforms (e.g. Teams, Asana, Smartsheet etc.)
Strong database management skills, including the ability to create and manage large, complex databases using data from multiple sources.
Ability to effectively manage multiple, demanding and complex tasks.
Strong and effective communications and interpersonal skills.
Willingness to travel regularly to be onsite at various Region 4 offices.
Ability to obtain and maintain a valid California driver's license.
