    Supervised by and/or Reports to: Executive Director of Accountability and Finance

    General Responsibilities: Responsible for managing student data within the Student Information System (SIS) and supporting systems to maintain effective data practices for Manassas City Public Schools, to include technical, functional, and analytical use of data. Provide training and support to registrars to facilitate data accuracy for state and division-level reports. Provide guidance, training, and support regarding student master schedules within the SIS. Ensure confidentiality and lead data security practices. Collaborate with a variety of Manassas City Public Schools departments to provide timely access to data reporting that will support the mission to improve student learning outcomes. Oversee efforts to support regular student attendance, through the establishment of attendance processes and procedures, training of school staff, and oversight of school attendance officers.

    Student Information System (SIS) Data and Student Master Schedules

    • Maintains student data within the student information system (SIS) to ensure data integrity.
    • In collaboration with the IT Department, maintains user security access, performs annual processes, and provides support to all administrative end users.
    • In collaboration with the IT Department and the Coordinator of Data Analysis and Reporting, sets up SIS modules and reporting extracts to ensure appropriate data collection and reporting.
    • In collaboration with the IT Department, manages and oversees the implementation and use of supporting applications for discipline and attendance.
    • Attends regional, state, and national SIS workshops, conferences, and webinars as necessary to keep SIS up-to-date and operational.
    • Develops and provides professional development to meet the needs of end users according to their positions on using the SIS and running building-level reports to include attendance, discipline (incident management), and enrollment, and principal reports.
    • Provides direction and ongoing professional development and support to schools in the development of their student master schedules with the SIS.
    • Conducts regular meetings with directors of counseling, school registrars, attendance officers, and administrative assistants about data entry, data quality, and data accuracy.
    • Provides ongoing support, guidance, and professional development to registrars on division, state, and federal data requirements, and provides evaluative input to school principals for registrars.
    • Collaborates with the Supervisor of Testing and Instructional Technology to ensure accurate data are captured from the Learning Management System and other instructional applications.
    • Provides support to the Executive Director of Accountability and Finance with data for schools to inform strategic planning and continuous improvement planning.

    State Reporting

    • Generates, reconciles, and submits Master Schedule Collection (Fall and EOY) and Student Behavior and Administrative Response (SBAR) reports to the Virginia Department of Education (VDOE) and the Civil Rights Data Collection (CRDC) report to the federal government.
    • Supports the Coordinator of Data Analysis and Reporting on the submission of the student record collections (SRC) for VDOE.
    • Partners with the Director of School Leadership and other key stakeholders to ensure the accuracy of data collected and reported for special populations.
    • Collaborates with all departments and schools to ensure state reports are accurate and submitted to the VDOE on-time.

    Student Attendance

    • In partnership with school principals, supervises and evaluates school attendance officers.
    • Provides professional development and support to attendance officers, school leadership, and school attendance teams in the development and implementation of division and school attendance processes, protocols, and interventions.
    • Collaborates with the Department of Special Services in efforts to support students and families with attendance.
    • Develops and directs student attendance and absence
    • Conducts monthly, quarterly, and annual analyses of attendance patterns to report to internal and external stakeholders.

    Requisite Knowledge, Skills, and Abilities:

    • Five (5) years' direct or relevant experience with managing student data, reporting, and maintaining data accuracy.
    • Proficiency using Microsoft Office applications including: Word, Excel, PowerPoint, and Publisher.
    • Understanding of relational database

    Requisite Education and Experience:

    • Master's degree in Education or related field Bachelor's degree in Education or related field required.
    • Relevant experience in a Virginia public school
    • Minimum five (5) years of relevant work experience in managing a student information system, maintaining student records management, supporting regular school attendance, and using databases to generate reports.
    • Experience with PowerSchool preferred.

    Physical Requirements:

    Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to: a personal computer, calculator, copier, and fax machine. Significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, or repetitive motions required.
