Description
SUMMARY: Responsible for the direction, education, and performance of staffing coordinators in order to support the functions and operations of the staffing office. Coordinates and develops monthly schedules for the Unit Secretaries and the Staffing office.
RESPONSIBILITIES
Responsibility I
1.1 Oversees staffing office operations to resolve problems, instruct staff and utilize feedback from Nursing Leadership to improve the staffing office processes.
1.2 Tracks and reports staffing data to provide measurements and help determine outcomes as directed.
1.3 Identifies training needs. Provides group and one-on-one training and feedback as necessary. Ensures that staff continually demonstrates and develops appropriate skills to perform the job.
1.4 Addresses acute workflow problems, and works to continually improve process.
1.5 Monitors and reports on standards of behavior and performance and reports them to the Director of Nursing Resources and Finance.
1.6 Proactively addresses employees who fail to meet performance standards.
1.7 Reviews all staffing discrepancies and monitors for accuracy, providing intervention as necessary.
1.8 Represents the needs of the Staffing Coordinators in discussions and meetings with the Director of Nursing Resources and Finance.
1.9 Maintains presence at work and availability as required by the nature of the duties of the position.
1.10 Identifies and recommends improvements in process and procedure.
Responsibility II
2.1 Implements and communicates Human Resources policies and procedures in a fair and consistent manner.
2.2 Collaborates with the Director of Nursing Resources and Finance on timely employee performance appraisals.
2.3 Assists with employee discipline procedures with appropriate documentation according to Hospital policy.
2.4 Assists with interviewing qualified employees for employment according to Hospital policy and employee relations laws.
2.5 Responsible for Staffing Coordinator orientation, and training.
2.6 Provides and documents ongoing training for employees (including orientation and inservices) to optimize staff effectiveness and meet Vassar Brothers Medical Center. Standards.
Responsibility III
3.1 Develops monthly schedules for all Staffing Coordinators and Unit Secretaries to ensure adequate coverage of the staffing office and Nursing Units. Oversees input into the ANSOS scheduling system
3.2 Assists with scheduling all time off and work assignments including yearly vacation planning in an equitable manner and in accordance with the 1199 contract agreement
3.3 Assesses daily staffing needs and adjusts staffing numbers as needed
3.4 Assists Staffing coordinators to make phone calls to fill required shifts
3.5 Approves all time off requests in collaboration with the Director of Nursing Resources and Finance.
3.6 Has knowledge of ANSOs position control to assist in assigning all new employees', interdepartmental transfers and agency staff into computer database as requested.
Responsibility IV
4.1 Exemplifies excellent customer relations in interactions with staff, visitors, employees, and serves as a positive role model through initiative, involvement and availability.
4.2 Works as an effective member of the management team through support and cooperation with others.
4.3 Develops with every employee, teamwork specific behaviors (as stated in the SPIRIT principles) that lead to service excellence; initiates recognition of service excellence behaviors, through nominations to Hospital Recognition programs (Service Excellence, Employee of the Month) and ongoing reinforcement (Catcher Coupons, Thank Accounts); holds employees accountable on an ongoing basis for maintaining acceptable service excellence behaviors.
4.4 Monitors the effectiveness of employees'' customer relations behaviors and provides feedback (both positive and negative) in a timely and constructive manner.
4.5 Maintains confidentiality of employees and department information.
4.6 Assures that telephone communication is courteous (following the AIDET initiative), prompt and supports customer service philosophies.
Responsibility V
5.1
Seeks clarification, listens and conveys information clearly, in written and verbal forms.
5.2
Collaborates as an effective liaison between the staffing office and all hospital departments.
5.3 Investigates and responds appropriately to all complaints and takes effective corrective action when necessary.
5.4
Demonstrates ability to identify and resolve interpersonal or professional conflicts when dealing with members of the organization.
5.5
Demonstrates tact, courtesy and a positive approach to communication and interaction with other employees, visitors and the public. Presents the department and Vassar Brothers Medical Center in a positive manner.
5.6
Reveals or relates no information regarding employees to others except in accordance with Vassar Brothers Medical Center policy.
5.7
Develops and sustains open lines of communization with employees by sharing information about hospital-wide issues, by listening to employee concerns and responding in a timely and caring fashion.
Responsibility VI
6.1 Maintains office supplies on a regular basis to ensure adequacy of inventory.
6.2 Prepares and processes order/purchase requisitions for all office supplies and equipment as needed.
6.3 Signs in all items as they are received and verify accuracy of deliveries and stocks supply cabinet promptly.
6.4 Contacts Purchasing Department/IS regarding preparation of equipment.
6.5 Contacts Environmental Services or Engineering regarding the repair/maintenance for equipment in the Nursing Resources Department.
JOB QUALIFICATIONS:
Education: High School diploma or equivalent is required. Associates degree is preferred.
Experience: One year, supervisory /management experience is preferred.
