Summary & Qualifications:

Summary

This individual will assist the Human Resources Department with various projects and administrative tasks, as well as support the Talent Acquisition team with hiring needs. General office duties include answering phones, routing requests/inquiries, opening and distributing mail, copying, filing, and scanning documents as directed. There will be various projects distributed to this person throughout the department to organize paperwork, create appropriate filling systems, maintain/update documentation, and provide other administrative support. The ideal candidate will be dependable and able to work independently as well as collaboratively with others. This individual will have good listening and communication skills, be flexible and able to deal with interruptions, and will maintain a high work ethic, integrity, and confidentiality in a fast-paced environment.

Qualifications

Required:

  • High School diploma or GED
  • One year of office experience or customer service experience
  • Experience using email, and calendaring software
  • Ability to work confidentially with personally identifiable information and sensitive employment related information.

Preferred:

  • Experience using a Human Resources Information System
  • Ability to review and update documents to be accessible according to ADA standards
  • Ability to successfully create and edit spreadsheets using spreadsheet software (i.e. Microsoft Excel, Google Sheets)
  • Experience working with accurate, detailed reports and information

Essential Responsibilities

  • Provide receptionist services by receiving calls and greeting visitors with a friendly welcome, information and direction
  • Answer multi-line telephones and schedule appointments for department staff
  • Create, update, and maintain files
  • Open, sort and distribute mail
  • Read, create, and respond to email as needed
  • Respond to departmental email in addition to personal email
  • Maintain and order office supplies
  • Attend college events and meetings as needed
  • Provides administrative support to the human resources department through scheduling, communicating, filing, scanning, updating data, and following prescribed processes
  • Provides support to the talent acquisition team by assisting with the hiring process as assigned
  • Verifies new hire paperwork in compliance with NMC policy and federal laws and regulations.
  • Conducts new employee orientations for part-time employees
  • May assist with processing cobra events
  • Other duties as assigned

Computer Skills

To perform this job successfully, an individual will have computer skills, including knowledge of and the ability to use the Internet, email, calendaring software, spreadsheets, database, statistical and word processing software. Individual must be able to perform data entry, run reports as needed, and work in databases such as Ellucian Banner.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
