Position Overview

We are hiring a detail-oriented Supply Chain Administrative Assistant to support purchasing, production scheduling, and supply chain operations. This role is critical to ensuring data accuracy, order execution, and cross-functional coordination across suppliers and internal teams.

Schedule & Work Environment

  • Schedule: Monday-Friday | 7:30 AM - 4:00 PM (flexibility available)
  • Work Model: Hybrid after training
  • Location: Little Canada, MN

Key Responsibilities

Purchasing Support (35%)

  • Assist with purchase order creation, updates, and tracking in ERP systems
  • Monitor order acknowledgements, pricing, lead times, and quantities for accuracy
  • Follow up with vendors and suppliers on open orders, discrepancies, and confirmations
  • Maintain organized purchasing records and documentation

Scheduling & Planning Support (35%)

  • Update demand and supply signals in ERP systems
  • Track work orders, material availability, and production timelines
  • Coordinate with purchasing, planning, and operations teams to resolve scheduling conflicts
  • Run and review reports to support supply and demand alignment

Administrative & Data Management (25%)

  • Maintain accurate ERP master data (part numbers, vendors, lead times, inventory data)
  • Support data entry, reporting, and documentation
  • Identify and escalate data inconsistencies and gaps

Required Skills & Qualifications

  • 1-3 years of experience in supply chain, purchasing, procurement, logistics, or operations coordination
  • Experience using ERP systems (Epicor or similar preferred)
  • Strong proficiency in Microsoft Excel (data tracking, sorting, filtering, basic formulas)
  • Ability to be self-sufficient, prioritizing and executing work independently
  • Comfortable working in ambiguous environments with shifting priorities and incomplete data
  • Demonstrated patience and persistence, especially when managing supplier follow-ups and issue resolution
  • Strong organizational skills, with the ability to manage multiple deadlines, workflows, and priorities simultaneously
  • High attention to detail and commitment to data accuracy and quality control
  • Excellent communication skills, with the ability to collaborate cross-functionally across
    purchasing, planning, and operations teams

Compensation & Benefits
