ABOUT THE ROLE
The Supply Chain Analyst reports to the Director of Supply Chain and has no direct reports. This role is the operational backbone of honeygrow’s supply chain: the first line of support for our restaurants on vendor and product issues, the analyst keeping contracted pricing honest, the steward of our supplier documentation and food safety compliance program, and the owner of the systems that power our food cost, labeling, and nutrition data.
You’ll own day-to-day resolution and data accuracy independently, and escalate to the Director where vendor negotiation or relationship management is required. If you like being the person who knows where everything is, why the number moved, and which supplier’s certificate expires next month — this is your role.
KEY RESPONSIBILITIES
Restaurant Support
- Serve as the point of contact for vendor issues — credit requests, late deliveries, quality issues, and shortages — owning day-to-day resolution and escalating to the Director of Supply Chain where negotiation or vendor relationship management is needed
- Maintain an accurate, current vendor contact database for restaurant teams
- Coordinate vendor setup and scheduling for New Restaurant Openings (NRO): vendor notifications, vendor contact form generation, delivery schedule communication and coordination, and account setup across systems — partnering closely with the NRO Strategist team to ensure each opening succeeds
- Resolve restaurant manager inquiries and support requests submitted via Zendesk (actual vs. theoretical food cost, supply chain, and food cost topics)
Supply Chain Analytics
- Audit invoicing against contracted pricing, flag discrepancies, and escalate to the Director of Supply Chain for resolution
- Track overall spend, usage, and costs of purchased items; roll up reporting to the Director and the broader leadership team
- Maintain the contract database in Notion
Supplier Documentation & Compliance
- Own and maintain honeygrow’s supplier documentation register — tracking required documents by supplier and item and proactively monitoring expiration and renewal dates so nothing lapses
- Collect and organize baseline documentation from all suppliers: certificates of insurance, continuing letters of guarantee, product specifications, and allergen and nutritional statements
- Scale documentation requirements to supplier risk — securing GFSI audit certificates, FDA facility registrations, food safety plan attestations, and recall documentation from copackers and manufacturers of honeygrow’s proprietary products, while leveraging distributor supplier-approval programs where appropriate
- Maintain accurate, current allergen and nutritional data for all purchased items to support menu labeling and guest-facing allergen information
- Verify and file substantiation for any certified product claims honeygrow markets (kosher, gluten-free, organic, non-GMO)
- Monitor regulatory changes affecting supplier documentation (e.g., FSMA 204 food traceability) and coordinate readiness ahead of compliance deadlines
Systems Management
- Own, audit, and maintain restaurant order guides, inventory sheets, the item database, the recipe database, and recipe-to-menu-item mapping in Restaurant 365 — the foundation for accurate actual vs. theoretical food cost analysis — along with invoice review
- Maintain the food labeling system database so every restaurant always has the correct, current ingredient and recipe lists for food safety label printing
- Build and maintain an accurate recipe database in MenuCalc, our nutrition calculator
- Manage the SmartSense temperature monitoring program: vendor partner relationship, new location setup, and sensor replacement approval and coordination
- Manage the PreciTaste digital prep tool system: recipe and item database accuracy, new location setup, and partner relationship management

- Organized under pressure — you manage recurring audits, ticket queues, and NRO deadlines simultaneously without dropping threads
REQUIREMENTS
- 2+ years of experience in supply chain, purchasing, procurement, or restaurant/food service operations analytics (or equivalent combination of education and experience)
- Strong analytical and spreadsheet skills, including the ability to reconcile invoices against contracts and build clear roll-up reporting
- High attention to detail and accuracy when managing databases and documentation
- Strong written communication skills for vendor coordination and restaurant-facing support
- Comfort learning and administering multiple software systems
- Ability to work onsite 4 days/week at our Philadelphia Restaurant Support Center
- Occasional travel to restaurant locations as needed approximately 5%
- Preferred: Experience with Restaurant 365 or similar restaurant inventory/ERP platforms
- Preferred: Familiarity with food safety and supplier compliance documentation (GFSI, FDA facility registration, letters of guarantee, FSMA)
- Preferred: Experience with Zendesk or similar ticketing systems
- Preferred: Experience supporting multi-unit restaurant or retail operations
- Preferred: Working knowledge of nutrition/allergen data management or menu labeling requirements
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
This role is based at honeygrow’s Restaurant Support Center in Philadelphia, with occasional visits to restaurant locations to support new openings and system maintenance.
