ROLE SUMMARY

The Supply Specialist is responsible for the end-to-end execution of customer and intercompany orders, ensuring accurate, compliant, and timely processing from order creation through shipment and invoicing. This role serves as a key operational link between planning, warehouse operations, freight forwarders, trade compliance, and global markets, supporting both routine and complex shipping activities.


The position requires strong execution, attention to detail, and problem-solving capabilities to manage high order volumes, resolve exceptions, and ensure adherence to all applicable regulatory and compliance requirements.



ROLE RESPONSIBILITIES


Order Management & Execution

  • Process customer and intercompany orders in SAP across multiple supply points and markets.
  • Manage full order lifecycle including creation, release, PGI, and invoicing.
  • Coordinate with warehouse operations for pick/pack readiness and shipment execution.

Logistics & Shipment Coordination

  • Coordinate domestic and international shipments (air, ocean, truck)
  • Schedule transportation and manage shipment timelines
  • Partner with freight forwarders to ensure timely shipment execution

Documentation & Compliance

  • Prepare and distribute shipping documents:
    • BOL, invoices, CoA, and regulatory-required paperwork
  • Ensure compliance with:
    • Trade compliance regulations
    • AES/export reporting
    • Controlled substance and hazardous material requirements

Exception Management

  • Identify, investigate, and resolve order and shipment issues.
  • Escalate complex issues across functions to ensure resolution.
  • Manage high frequency of order exceptions requiring troubleshooting.

Manual & Non-Standard Processing

  • Process manual shipping requests for samples, equipment, and non-SAP orders
  • Coordinate data collection and approvals for non-standard shipments

Financial & Transaction Activities

  • Process credits, debits, and returns tied to customer orders
  • Support financial close activities and transactional accuray

Reporting & Record Retention

  • Maintain records and documentation in SAP/OpenText systems
  • Support reporting:
    • Export/AES reporting
    • Open orders and shipment tracking
    • Trade compliance metrics

Systems & Tools

  • Utilize multiple systems including:
    • SAP (order processing)
    • Atlas / Saga / Sensitech (temperature-controlled shipping)
    • Export compliance tools (AES, logs)

Cross-Functional Collaboration

  • Interface with:
    • Warehouse operations
    • Trade compliance
    • Freight forwarders
    • Internal and external customers
  • Communicate shipment status and issue resolution

Minimum Qualifications

  • Experience in logistics, supply chain operations, customer service, or order management preferred
  • Working knowledge of ERP systems (SAP preferred)
  • Strong analytical and problem-solving skills
  • Effective written and verbal communication skills

Work Location Assignment: On Premise
The salary for this position ranges from $23.64 to $39.39 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
