ROLE IMPACT
Support the daily operations of a fast-paced municipal department by providing exceptional administrative and customer service support. This role serves as a key point of contact for employees, residents, vendors, and visitors while ensuring office operations, communications, scheduling, records, and administrative processes run efficiently. Success in this position requires strong organization, attention to detail, professionalism, and the ability to manage high-volume phone activity while maintaining excellent customer service.
Key Responsibilities
• Answer and manage high-volume incoming calls, transfer callers appropriately, relay messages, and provide professional customer service to visitors and stakeholders.
• Coordinate calendars, meetings, conference room scheduling, travel arrangements, training events, and departmental activities.
• Process incoming and outgoing mail, maintain office supplies and equipment, and ensure common areas remain organized and presentable.
• Maintain departmental databases, perform data entry, prepare reports, update records, and support public information and records requests.
• Process timesheets, assist with payroll documentation, receive payments, maintain transaction records, and provide administrative support across departments as needed.
Minimum Qualifications
• High school diploma or GED required.
• 3 years of progressive administrative support experience in a professional office environment.
• Proficiency with Microsoft Word, Excel, Outlook, and data entry systems.
