Position Summary

The Support Services Supervisor for the Brooklyn Park Police Department Records Unit plans, assigns, oversees, and participates in the work of staff providing support to police department staff. This position supervises, trains, provides performance feedback, conducts annual reviews, addresses conflict, implements disciplinary measures and assists in selection of new hires. This position also maintains strict confidentiality in day-to-day responsibilities. The Support Services Supervisor manages and supervises records technicians, investigative records technicians, data and records release technicians.

Essential Duties and Responsibilities

  • Prepare annual performance reviews that are conducted with each support services employee as it pertains to their unit. Meets with employees to conduct check-ins and goal setting.

  • Prepare schedules, ensuring all shifts are covered sufficiently. Utilize the department scheduling software, review time off requests and handle sick call-ins. Post open shifts on an as-needed and weekly basis to ensure there is coverage at both precincts. Maintain shift staffing requirements.

  • Arrange and monitor field training process and daily observation reports ensuring quality and consistency to meet department standards. Prepare and lead a new hire academy outlining the basic duties, expectations, policy/procedure, and other responsibilities of the support services staff.

  • Assist with preparing and maintaining the divisions standard operating procedures as department policy/unit procedure changes occur and duties evolve.

  • Manage discipline of support services staff as policy/procedure violations occur and provide coaching to employees as needed.

  • Assist with the hiring and onboarding of new support services staff. Review applications and conduct interviews on the interview panel.

  • Assistant Terminal Agency Coordinator (TAC), assist with Bureau of Criminal Apprehension (BCA) audits, to include managing the Computerized Criminal History (CCH) and Hot Files, verification of files and certification of persons operating such files. Provide security and privacy training to staff.

  • Serve as Reporting Agency Coordinator (RAC) for NIBRS statistical data reported to the BCA.

  • Perform the full range of support services duties as needed to include providing case report transcription support to the police department, investigation BWC and interview transcription and merge officer generated case reports into the police departments records management system. Processing and scanning of case file documents into Laserfiche.

  • Oversee and mentor staff within the Support Services Division, ensuring ongoing performance monitoring and compliance with all applicable directives, policies, procedures, rules, and regulations.

  • This includes overseeing the development and implementation of work schedules for the entire support services division

  • Provide solutions to issues that arise concerning incorrect charging or any/all issues that arise related to processing of reports, eCitations and other day-to-day activities.

  • Monitor, track, run reports for different processes for supervisors related to their staff and case management. Provides instructions to patrol officers with processes related to DWI/eCharging, and eCitations.

  • Manage the eCitation system in-house consisting of the entering into the departments ticket writer system all new state statutes and city and county ordinances, repeals and updates. Also, the entering and keeping updated of all data in the ticket writer as listed in the BCA Statute Service to ensure maintaining compliance so all systems run smoothly, and tickets submit as they should to court and the agencys records system. Fixing all ticket errors and submitting for acceptance and tracking of such. Facilitating the entry of Brooklyn Park Ordinances within the court system.

  • Manage the county attorney's discovery and transcription requests.

  • Manage statute updates as received from the Minnesota Judicial Service for entry into the agency's records system.

  • Review eCitations issued where the endangered box is checked and file preparation for the city attorney's office for court.

  • Work with other department supervisors in developing and implementing new processes, assisting with creating workflows, setting up the appropriate training and creating documentation of such.

  • Other duties as assigned.

Minimum and Desired Qualifications

Education

Associates degree in criminal justice, public safety public administration, business administration or closely related field.

Experience

Three (3) years of customer service and administrative support experience in a criminal justice environment which includes one (1) year of supervisory or leadership experience.

Equivalency

An equivalent combination of education and experience closely related to the duties of the position MAY be considered.

Licenses/Certifications

  • Security and Privacy Training upon hire
  • MNJIS Operators Course within 6 months of hire
  • Crime Reporting NIBRS Training within 1 year of hire
  • TAC Certification within 1 year of hire
  • BCA Supervisor Certification within 3 years of hire

Regular, full-time City of Brooklyn Park employees (40 or more hours per week) are eligible for a benefits package including:
