Job Overview

Payroll Coordinator with solid experience in Costa Rica, managing payroll processes for an approximate headcount of 1,500 employees. Extensive knowledge of weekly and biweekly payroll administration, ensuring accurate and timely salary calculations, deductions, social security contributions, and compliance with Costa Rican labor regulations. Proven experience leading payroll teams, optimizing payroll processes, and maintaining high standards of service, accuracy, and confidentiality in employee administration.

Job Requirements

  • Manage and process weekly and biweekly payrolls in Costa Rica, ensuring accuracy in salary calculations, overtime, and deductions.
  • Validate payroll calculations, tax withholdings, and compliance with local regulations, including CCSS, INS, and Ministry of Labor requirements.
  • Process and maintain employee transactions in the payroll system, including new hires, terminations, promotions, and salary adjustments.
  • Ensure timely and accurate payroll payments in accordance with established schedules.
  • Calculate and process both voluntary and involuntary terminations, including final settlements and severance payments.
  • Strong knowledge of Costa Rican payroll regulations and calculations related to CCSS (Costa Rican Social Security Fund), INS (National Insurance Institute), and Income Tax.
  • Provide employee support by responding to inquiries regarding pay, deductions, benefits, and payroll-related matters.
  • Manage and maintain time and attendance systems, including payroll-related validations.
  • Administer wage garnishments, child support orders, and other court-mandated deductions.
  • Ensure accurate calculation and validation of payroll accruals and reserves, including Christmas bonus (Aguinaldo), bonuses, taxes, and other payroll liabilities.
  • Support the monthly accounting close process, ensuring proper payroll accounting entries, reconciliations, and issue resolution.
  • Monitor, analyze, and report on Payroll KPIs and metrics to ensure operational efficiency and compliance.
  • Drive payroll process automation and simplification initiatives to ensure accurate, efficient, and compliant payroll processing
  • Lead and manage payroll-related projects, including process improvements, system implementations, and cross-functional initiatives.

What your background should look like

  • Previous experience in supervisory or coordinator-level payroll roles, preferably within multinational companies or consulting firms.
  • Strong technical knowledge of payroll systems such as Softland, SAP, or similar platforms.
  • Advanced proficiency in Microsoft Excel, including database management, formulas, pivot tables, data analysis, and reporting.
  • Knowledge of payroll processes and regulations in other countries is highly desirable.
  • Bilingual (Spanish-English) with at least a B1 English proficiency level.
  • Strong attention to detail, proactive mindset, excellent organizational skills, and ability to meet deadlines.
  • Proven experience in automating, streamlining, and improving payroll processes to increase efficiency and accuracy.
  • Experience leading or participating in process improvement and payroll transformation initiatives.
  • Strong project management skills, with the ability to coordinate multiple priorities and stakeholders.
  • This position offers a growth opportunity to support and oversee payroll operations across additional LATAM countries as the function expands regionally.
